Full Job Description
We're recruiting for a PMO Project Support Officer here at Justice Digital, to be part of our warm and collaborative Technology Services Delivery team.
The Technology Service Delivery (TSD) Programme Management Office (PMO) is the central hub for supporting and enabling successful project delivery across TSD, we provide guidance, standardised processes and consistent governance to ensure all projects are aligned, efficient and effective. Roles can work centrally to provide support across all TSD projects or be embedded as part of a project team to provide specialist advise and support day to day delivery.
Our team enhances project understanding and insight, giving leadership clearer visibility of project progress, risks and overall performance. By streamlining project practices and fostering collaboration we help drive better outcomes, save time and optimize resources, contributing to TSD and wider Justice Digital strategic goals.
You will form part of a multi-disciplinary team responsible for the delivery of a range of outcomes in support of the wider Technology Services teams. The TSD function is responsible for delivering projects and work packages relating to the deployment of new technology or services across the MoJ estate, transition of services from supplier to supplier or in-house and exiting of services from incumbent suppliers.
The role of the PMO/Project Support Officer (PSO) is to provide essential support within a project or the TSD centralised PMO team. The PSO will assist with project planning, monitoring progress, managing documentation and reporting, and ensuring communication flows effectively. The role ensures a smooth an efficient operation by coordinating resources, tracking timelines, and assisting the PMO and project managers in maintaining organisation and governance for successful project delivery.

Key Responsibilities
Governance - Arrange and facilitate required project governance such as project boards and working groups, including creating slide packs, circulating papers and capturing and progressing actions and decisions and taking minutes as appropriate.
Planning and scheduling - Ensure systems are in place to enable effective planning and scheduling. Update and maintain project plans and work with project teams and stakeholders to make amendments.
Monitoring and reporting - Manage project controls and provide regular status updates to the Project Manager and TSD PMO. Develop and prepare detailed project reports, ensuring accuracy and alignment with project goals
Stakeholder management - Coordinate project communications by drafting and distributing updates and key messages to stakeholders. Ensure all communications are clear, consistent, and aligned with project goals. Act as a point of contact for stakeholders, addressing queries and maintaining positive relationships.
Resource management - Provide light-touch support for resource forecasting, assisting with project planning to ensure the right resources are available when needed.
Knowledge and information management - Manage the storage, retention and accessibility of items under configuration control. Ensure that all changes to documents under configuration control are documented and controlled. Maintain the lessons learned log.
Risks and issues - Manage potential risk areas utilising the PMT risk tool, working with risk managers and escalating as appropriate. Facilitate Risk Working Groups for the project.
Benefits management - Support project teams to identify, define, and document the benefits expected from each project helping to define measurable benefits and a realistic realisation plan.
Financial control - Monitor project spend and contribute to the compilation of budgets and support with the development of business cases.
Line Management - Manage a small team of junior staff ensuring they are effectively supporting projects. Provide coaching, development opportunities, and performance feedback.
Secretariat and Admin - Ensure tasks are carried out efficiently. Arrange and facilitate required project meetings and taking and circulating minutes and capturing actions and decisions as appropriate. Support with managing shared mailboxes as required.
Continuous improvement - for example this could be to identify new ways of working, tools, or data analytics to improve the effective delivery of PMO services.
Willingness to work towards formal project qualifications such as APM Project Management Qualification, PRINCE 2, Agile Project Management.
These roles may be embedded within specific projects or programmes, or they may be part of the TSD centralised PMO team. While some positions may focus on specialised areas within these responsibilities, all team members will be expected to have a broad working knowledge across all areas.
