Full Job Description

  • Providing administrative support to the leaders you support.
  • Pro-active diary management for the leaders you support, responsible for keeping an overall view of the diary and ensuring that there is an optimum schedule for the meetings.
  • Co-coordinating domestic and international travel on behalf of the leaders you support including accommodation, transfers.
  • Book meeting rooms, catering and AV for the leaders you support meetings where required
  • Maintain the team's ROB (Rhythm of the Business) ensuring that the leaders you support and direct reports are informed of any potential clashes and rescheduling as appropriate.
  • Forward planning of the leaders you support diary, to review further out and advise on any conflicts with key team meetings / Western Europe Bank Holidays
  • Preparing expenses for the leaders you support and providing guidance and policy support to the wider team.
  • Managing logistics for all internal and external meetings for the leaders you support.
  • Ensuring all briefing papers and supporting information needed for internal / external meetings are given to the leaders you support in a timely manner.
  • Providing support to the Executive Assistant on administrative matters where needed.
  • Scheduling and co-ordination of all group meetings and off-sites, including logistics, catering, budgets etc.
  • Being a main point of contact for the teams. There to help and support with queries.
  • Ownership of internal processes for the sectors, including creating Purchase Orders, tracking invoices, ordering Hardware/Software/Procurement.
  • Providing guidance in line with the MS UK and WE Region expense policy, educating assisting managers and their teams with policy.
  • Updating and monitoring org charts and team aliases/distribution lists for each team.
  • Delivering high quality and timely responses to incoming emails.
  • Assist on adhoc projects for WE HR when requested, eg: WE Leadership Offsites.
  • Success Criteria:
  • Provides effective Director Support and enables all staff within the WE HR Team to work as efficiently and effectively as possible.
  • Ensure the leaders you support's diary is balanced and has focus and recovery time built in, managing this with agility and flexibility.
  • Presents an enthusiastic and professional image on behalf of the HR Western Europe Team, both internally and externally at all times.
  • Become an integral member of the Western Europe administrative community within the wider group.
  • Provide full support for the Executive Assistant when out of the office or holiday cover.
  • Maintains and seeks to improve administrative processes and freely shares best practice to the Western Europe administrative community.
  • Uses initiative appropriate to position, escalating where appropriate.
  • Confident with scheduling across multiple time zones and communicating with colleagues from all countries.
  • Demonstrates exceptional time management, organisation and planning skills.
  • Demonstrates ownership, tracking and follow through to resolution on all queries and issues.
  • Enjoys working in a fast paced, high tech multinational, multi time-zone culture.
  • Thrives when working to tight deadlines, multitasking and facing pressure
  • Can adapt and be versatile.
