Full Job Description
The Commercial Administrator will integrate into the Commercial Team, responsible for the day-to-day administrative duties and supporting the commercial team. The main tasks associated with the role are: Procurement & Payments
- Manage day-to-day procurement requirements and assist in procuring long-lead items.
- Accurately compile and manage subcontractor orders and interim payment applications.
- Oversee timely receipt of supply chain applications and documentation to ensure efficient processing. Cost Control & Budget Management
- Regularly review actual resources used in production (e.g., labour and plant) against budget to ensure compliance.
- Conduct material reconciliations to monitor usage against project design and budget.
- Support the Commercial team with cost capturing and the administration of commercial accounting systems. Subcontractor Management
- Maintain and update subcontractor Quality Assurance (Q.A.) documentation.
- Ensure accurate re-measurement of works to monitor value and report on deviations.
- Review and validate weekly allocation sheets, labour-only payments, and subcontractor accounts. Performance Reporting & System Improvement
- Identify opportunities to enhance and improve internal systems and procedures. Collaboration & Communication
- Work closely with the Commercial team to manage and compile all active works.
- Maintain regular communication with key project stakeholders to align on financial and operational progress. General Support
- Assist with general day-to-day tasks and administrative duties as required by the Commercial team to ensure smooth project operations.
The successful candidate should possess the following skills, knowledge and experience; - 3 years' experience working in a similar role
- Qualified to GCSE to include Maths and English at C or above (or equivalent qualification)
- Effective communication, both written and verbal
- Ability to prioritise own workload and meet deadlines
- Confident with IT and Systems, including MS Office and Commercial Accounting software It would be desirable, but not essential, to have;
- Experience with COINS ERP Software
- Knowledge of the industry and commercial awareness
- A qualification in Business Administration, Accounts or similar subject area
