Full Job Description
To assist the Commercial Manager in providing commercial support to various FM contracts and ensure timely collation and delivery of financial information to meet the company's accounting timetable. This will involve the motivation and training of a variety of staff to achieve set targets and support the roll out and future development of the Business Unit service delivery model. A key aspect of this role is to specifically assist with problem solving within the individual contracts, and to work with the Commercial Manager to assist with target setting, monitoring and performance reporting of the Business Unit, Assist the Commercial Manager in managing the following:
- Complete and manage the month end
- Providing updates to the FM accounts team on projections
- Completing necessary financial reports for Head office (Projections, Budget Forecasts, Risk, Stock Register…)
- Collation of Commercial reviews to review with the operations team to understand the commercial risk to the account
- Manage contingency budgets
- Create and review monthly reactive sales applications ensuring all the relevant backup material is available
- Raising fixed and variable sales invoices as required, and resolving any unbilled items and identifying any risks due to non-completions as required
- Administration of Customer agreements to ensure they are kept up to date.
- Monthly Paymech deduction management for various PFI Contracts
- Analyse spends with subcontractors and material vendors and provide findings to Commercial Manager/ Regional Director as required to maximise profits
- Understand the various contract risks to mitigate as required
- Assist in the liaison with key project stakeholders to eliminate conflict and deliver excellent commercial relationships
- Reviewing and approving Purchase orders raise by the FM Procurement and raising any commercial concerns to the contract manager
- Assist in the management of aged purchase orders to reduce the risk to the business
- Carry out ad-hoc data analysis for internal and external stakeholders
- Assist with any outstanding items on the Aged debt report and providing updates as required to the credit control team
- Updating SBU excel reports to assist the management team in commercial decisions
- Administration of the Sales register to ensure Projections are kept in line with the performance of the business unit
- Assist with the creation and development of new processes
- Ensure that business risks are identified at the earliest opportunity and effectively communicated, resolved or mitigated to acceptable levels
- Assist Business Development Manager in bid costing as required
- Work on and provide updates via Power BI to provide useful Business insights
Excellent Microsoft Excel knowledge - Commercial FM experience
- The ability to understand policies and procedures
- Ability to collate reports, analyse data and produce concise business and risk reports
- Excellent communicator at all levels
- Experience of planning and progressing work, following processes and procedures with minimum referral to senior management
- Willingness to learn management skills
- Ability to work in a high paced environment Desirable
- Commercial Administration experience
- Good working knowledge or willingness to learn PFI and BSF and other relevant standard forms of contract
- Capability to manage budgets
- Ability to articulate and script commercial responses
- Good practical FM management experience
- Good commercial acumen
- Power BI
