At VIVO Defence we are at the forefront of delivering infrastructure, asset, and facilities management services to the UK Defence Sector. As part of our growing team, you'll play a crucial role in supporting commercial operations, supporting the Principle Commercial and Commercial Manager on the DSTL contract. About the Role: As a Commercial Coordinator, you will be the backbone of our Commercial Team, ensuring smooth financial transactions, maintaining supplier relationships, and supporting contract compliance. You'll manage key commercial processes, assist with reporting, and provide administrative support that helps keep our operations running efficiently. You will be responsible for managing purchase orders and payment applications, ensuring they are accurate and compliant. Reviewing and validating invoices against agreed rates will also be a key part of your role. You will act as the first point of contact for commercial queries, assisting with day-to-day contract compliance. Working closely with Subject Matter Experts (SMEs), the Supply Chain, and Operations teams, you'll resolve issues efficiently. Maintaining and managing the Specialist Subcontractor database and ensuring deliverables meet specifications and asset information requirements will also be part of your responsibilities. Additionally, you will support the Commercial Manager with essential contract documentation, including Early Warning Notices (EWNs) and Contract Change Notices (CCNs), while contributing to supplier performance reviews and commercial reporting.

Experience in data processing, payment management, and document control within a commercial environment is essential. Familiarity with MS Office applications, particularly Excel, Word, and Outlook, will be beneficial. A working knowledge of ISO policies and processes, as well as experience within construction, property maintenance, or military settings, would be advantageous. Strong organisational skills, excellent communication abilities, and problem-solving skills are essential, as you will be managing multiple tasks with competing deadlines.

This role requires travel to the DSTL site in Portsmouth once or twice a month. You must be eligible for SC Clearance to be considered for this role.
