Full Job Description
We are looking for a highly organised and proactive individual to join our Resource team here at Astutis, part of the Wilmington plc. This role is internally known as Resource Coordinator. You will play a vital role in coordinating and scheduling training courses, ensuring that trainers, venues, and travel arrangements are efficiently managed. If you thrive in a fast-paced environment, enjoy problem-solving, and have a keen eye for detail, this could be the perfect role for you., You will be responsible for:
- Actioning date requests submitted to the Resource team by the In-company sales team via an online ticketing system.
- Ensuring an appropriate trainer is allocated to a course, considering location, workload, etc.
- Inputting course information into the CRM diary system.
- Confirming course dates with venues.
- Monitoring delegate numbers on upcoming Open courses and liaising with the Open Sales team.
- Confirming and setting up jobs for courses when minimum numbers are hit.
- Arranging travel/visas where required for International courses.
- Sourcing UK Open course venues as needed, ensuring they meet the company's quality standards.
- Sourcing exam venues both UK and International for standard examinations and registering venues with NEBOSH.
- Ensuring the administration team is advised of any changes to course venues, dates, tutors, etc.
- Providing "Out of Hours" diary cover on a rota basis with the Resource Manager.
- Working within the systems and procedures of Astutis Ltd in alignment with ISO 9001:2008 accreditation. What's the Best Thing About This Role? The best thing about this role is the opportunity to work as part of a successful Operations team, where you will play a crucial role in scheduling and organising diaries. You will liaise closely with the Sales team and Account Managers, ensuring seamless coordination of resources. Additionally, you will have the satisfaction of maintaining high levels of customer service, contributing to the smooth running of training courses.
- Previous experience in logistics management (minimum of one year).
- An understanding of electronic diary management systems.
- The ability to work on your own initiative.
- Excellent verbal and written communication skills.
- The ability to respond effectively to changing priorities.
- The ability to work under pressure and meet deadlines. To be successful in this role, it would be great if you have:
- Experience of working within the training industry. We know it's not a skill, but the successful candidate must have permission to work in the role's location by the start of their employment.
This role can be fast-paced and requires a high level of organisation, particularly when handling last-minute planning for urgent sessions. Effective communication is key, as you will be coordinating with trainers and the course coordinator team to ensure everything runs smoothly.
