Full Job Description

Purpose of Role:The Data and Compliance Manager at Total Training Provision will lead and manage the administration team responsible for processing all documentation related to learner enrolments and training programmes. This role is pivotal in ensuring that all data is accurately entered into the Management Information System (MIS), compliance checks are thoroughly conducted for quality, eligibility, and funding, and that the team operates efficiently to support the overall business objectives. The role requires a strong focus on accuracy, compliance, and leadership to ensure that Total Training Provision continues to deliver high-quality services as an independent training provider.,

  • Lead, motivate, and manage the administration team, encouraging a culture of excellence and continuous improvement.
  • Conduct regular performance reviews, provide coaching and mentoring, and support staff development.
  • Allocate tasks and responsibilities to team members, ensuring workload is balanced and deadlines are met.
  • Documentation Processing:
  • Oversee the accurate and timely processing of all learner documentation, ensuring all information is correctly entered into the MIS system.
  • Ensure the administration team adheres to internal processes and procedures for documentation handling.
  • Compliance and Quality Assurance:
  • Conduct and oversee compliance checks on all learner documentation to ensure it meets the required standards for quality, eligibility, and funding.
  • Regularly review and update compliance processes to align with current regulations and funding requirements.
  • Liaise with internal quality assurance teams to maintain high standards and address any compliance issues.
  • MIS System Management:
  • Ensure that the MIS system is maintained with up-to-date and accurate data.
  • Collaborate with IT and other departments to troubleshoot and resolve any system issues.
  • Provide training and support to team members on the effective use of the MIS system.
  • Reporting and Analysis:
  • Generate regular reports on team performance, documentation processing times, and compliance outcomes.
  • Analyse data to identify trends and areas for improvement in the administration process.
  • Present findings and recommendations to senior management.
  • Stakeholder Engagement:
  • Act as the key point of contact for internal and external stakeholders regarding administrative processes, documentation, and compliance.
  • Collaborate with other departments to streamline processes and improve overall service delivery.
  • Continuous Improvement:
  • Identify opportunities to improve administrative processes, reduce errors, and enhance efficiency.
  • Lead initiatives to implement new tools, systems, or practices that benefit the team and the organisation.

    Proven experience in an administration management or team leader role, preferably within the education or training sector.
  • Strong background in compliance, quality assurance, and documentation processing.
  • Skills and Competencies:
  • Excellent leadership and team management skills, with a track record of developing and motivating staff.
  • High level of accuracy and attention to detail, particularly in data processing and compliance checks.
  • Proficiency in using Management Information Systems (MIS) and other relevant software.
  • Strong organisational and time-management skills, with the ability to manage multiple tasks and meet deadlines.
  • Excellent communication skills, both written and verbal, with the ability to engage effectively with a range of stakeholders.
  • Knowledge:
  • In-depth knowledge of compliance requirements, eligibility criteria, and funding regulations in the training and education sector.
  • Understanding of quality assurance processes and their importance in maintaining high standards.
  • Qualifications:
  • A relevant qualification in administration, management, or a related field is desirable.
  • Continuous professional development in areas related to administration management and compliance.
