Full Job Description
As Events Assistant you will support the delivery of IF&R events, assisting the IF&R Assistant Manager (Events) and the wider IF&R marketing team. Support the team in ensuring all event activities are well communicated, and feedback, performance, and ROI are regularly captured. Event Organisation: Assist with the organisation and on-the-day, in person support of events, including:
- Administration of event-related activities such as invites, agendas and promotional material.
- Adhering to firms ethics, due diligence and hospitality processes and ensuring relationships and new clients are logged.
- Finding and booking venues. Liaising with caterers and negotiating contracts with suppliers.
- Acting as the RSVP contact on invitations.
- Responding to external and internal event enquiries professionally and promptly.
- Maintaining and logging event guest lists.
- Keeping internal stakeholders regularly updated on RSVP progress.
- Assist in maintaining event budgets and financial records, including processing invoices
- Collaborate with the marketing team to promote events through various channels, such as social media and email campaigns Event Analysis: Produce event analysis by:
- Collating feedback from guests.
- Ensuring requests for further information are followed up by relevant personnel.
- Collating internal feedback.
- Producing summary reports of statistics.
- Work closely with the BD team to ensure events achieve commercial objectives.
- Work collaboratively with the wider markets and clients team to ensure alignment of firmwide message and approach where appropriate.
- Support managers, senior executives, and other team members' workloads when appropriate.
- Develop strong and trusted relationships with stakeholders.
