Full Job Description

We are looking for a Fleet Coordinator to support the efficient management of fleet operations on the Gloucestershire Council contract. This role ensures the smooth procurement, maintenance, and compliance of vehicles and equipment, keeping operations running effectively and safely., o Manage daily defects through R2C Fleet management software and prioritise repairs in a timely manner.
o Liaise with service providers to make sure work is running to schedule and being completed within agreed timescales.
o Ensure defect reporting system is being used correctly and monitor.
o Schedule all inspections/repairs with all service providers and send calendar invites to relevant supervisors.
o Deal with all warranty/recall issues- organise with company/dealership for repair and communicate booking dates.
o Manage and maintain all vehicle files, including monthly mileage entries on SAP.
o Deal with and respond to daily email requests and telephone enquiries.
o Monitoring of vehicle telematics system.
o Assist with production of requisition orders for proforma invoices as required.
o Liaise with insurance department to make sure any vehicles are added or removed from MID.
o Ordering of Esso/Allstar fuel cards.
o Support investigations/fact finding associated with vehicle and/or driver incidents or infringements.
o Attend monthly owned fleet/winter fleet meetings when required.
o Any other task as reasonably requested by a member of Management.

Essential qualifications/ knowledge
o Good level of education including oral and written communication
o Competent in Microsoft packages e.g. Outlook, Word and Excel
o Driving licence (car)
