Full Job Description

We are currently hiring for an IT Asset Manager for an initial 3-6 months contract assignment based in London, SE1. (The duration is very likely to extend),

  • To lead on Software and Hardware Asset Management, ensuring licensing compliance and the life cycle management of assets.
  • Develop and maintain systems for managing the Assets (hardware and software).
  • Develop and maintain systems that contribute to proactive procurement of hardware and software assets throughout their life cycle; building strategic relationships, its partner organisations and core suppliers within relevant frameworks.
  • To lead on the optimisation of all IT assets and licences to ensure that the organisation maximises their value.
  • Principal accountabilities
  • Own and manage all aspects of the software license management best practice and tools and processes, performing activities such as entitlement management, reconciliation reporting, and re-use and retirement.
  • Lead all software asset life cycle activities, including procurement and cost monitoring, with particular emphasis around new technologies, ie Cloud services; management of software license and codes for activating or downloading software.
  • Lead and proactively plan new software procurements and renewals for all sites; liaising with legal and procurement experts to ensure contracts are fit for purpose; monitoring budgets; identifying ways of making savings and undertaking all aspects of placing the order.
  • Produce regular reports showing Effective License Position (ELP); identify, manage and escalate any risks in the use of software which may cause to be non-compliant with terms of usage.
  • Work with software regulatory bodies to project manage and promote software compliance within the organisation.
  • To monitor product roadmaps to proactively identify issues that will have an impact on our IT Standards or Standard Equipment Catalogue, passing these issues on to the Technical Design Board.
  • Manage the updating of IT asset registers incorporating hardware and software (ICT and user intellectual property rights); monitoring and reporting on quality assurance of data held.
  • Develop, design and co-ordinate the publishing of IT catalogues (hardware and software) on appropriate platforms, ie Intranet, SAP catalogue.
  • Liaise with the Customer Services Manager to ensure provision of standard equipment available to meet day-to-day service needs. To support them in sourcing non-standard software and equipment that may be needed to support customers requiring specialist equipment.
  • Responsible for the IT recycling contract including procurement, monitoring of KPI's and deliverables, escalations and co-ordinating day-to-day activities.
  • Responsible for periodic audits of the hardware and software, and reconciliation with asset registers.
  • Develop and maintain excellent relationships with core suppliers within relevant procurement frameworks; working within EU procurement directives of competitive tendering.
  • Develop and maintain excellent relationships with stakeholders.
  • Ensure that all procedures and documents are up to date and included on the Intranet or in the Service Catalogue.
  • Manage staff and resources in allocated to the job in accordance with the Authority's policies and Code of Ethics and Standards
  • Realise the benefits of a flexible approach to work in undertaking the duties and responsibilities of this job, and participating in multi-disciplinary, cross-department and cross-organisational groups and project teams.

    1. Demonstrable experience of software and hardware asset management
  • 2. ITIL qualified at foundation level, practitioner level would be advantageous. Experience of working in environment where a high level of service management is present and being practiced. 3. PRINCE qualified at foundation level, practitioner level would be advantageous. Experience of working a project office in a project support role or similar. 4. Demonstrable experience of purchasing equipment and software 5. Experience of updating databases and online information systems (including data manipulation and reporting).
