Full Job Description

We have an exciting opportunity for a Legal Assistant to join Weightmans' award winning and highly regarded Transport Regulatory Team. We are looking for an enthusiastic, passionate and hard-working individual to become part of an integral team which now has 2 Partners and 2 Associates. No previous experience in transport regulation is required, but a desire to learn and be up-skilled is a must. The Transport Regulatory Team undertakes high-consequence regulatory work for a wide range of clients, the majority of it on an urgent basis. The ideal candidate would serve as a gatekeeper, carefully managing enquiries to ensure that only the most relevant matters reach team members, and managing the flow of communications and filtering out non-essential tasks to allow team members to focus on high priority matters. Key tasks and responsibilities: The Legal Assistant will provide secretarial, administrative and modest fee-earning aspect support to the Partners and fee earners in the team. This will include:

  • Assisting with the opening and closing of files;
  • Assisting with the drafting of client care letters;
  • Assisting with billing matters including obtaining money on account;
  • Data input within Interaction;
  • Assisting with AML compliance on all transport regulatory files;
  • Processing expenses;
  • Preparing electronic bundles and paper bundles;
  • Using Outlook to send and monitor calendar appointments;
  • Assisting fee earners with administrative file checks;
  • Taking responsibility for transport regulatory files;
  • Co-ordinating travel arrangements;
  • Assisting with budgets and other financial metrics;
  • Dealing with incoming / outgoing payments and producing the necessary forms;
  • Confident liaison with clients;
  • Managing the team and individual diaries;
  • Liaising with other departments within the firm including marketing, finance, business development, IT and other legal operations where required;
  • Liaising with clients to collate materials and bundles for review by team members;
  • Attending client meetings and co-ordinating and taking ownership of follow up actions;

  • We would be delighted to speak to individuals who have a minimum of a years of administrative / fee earning based experience in a law firm or other professional service firm.
  • You will need to have good IT skills, including Word, Outlook, PowerPoint, Excel and other programmes.
  • Good communication skills with the ability to engage and work well within the Transport Regulatory team.
  • Good time management skills and have a good attention to detail.
