Full Job Description

As a Maintenance & Facilities Coordinator you will oversee the operation and administration of the Property Department¿s Maintenance Help Desk. You will be the main point of contact for reactive maintenance works for our Head Office and store estate which stretches across the UK, ROI, USA and Canada. Role Responsibilities Administers and maintains the Property Department Maintenance Help Desk, principally via Access Maintain / Pronett maintenance system but also via email and phoneline as required. The role includes, but is not limited to:

  • Providing Maintenance Help Desk function to all business areas during working hours.
  • Reviewing details of jobs raised by stores and processing / allocating quote or job requests to appropriate contractor to complete works within agreed deadline.
  • Investigating the history of maintenance events in stores to identify repeating issues.
  • Coordinate reactive works around planned maintenance to manage cost saving
  • Ensuring that all job requests are correctly and promptly processed and completed as required within expected timeframes.
  • Assisting with the monitoring of contractors performance against agreed KPIs.
  • Working with the maintenance manager to control department costs within budget.
  • Obtain competitive quotes as required and reviewing with maintenance manager.
  • Liaising with store teams about progress of jobs and updating records.
  • Processing invoices received by the maintenance helpdesk.
  • Ensuring the timely production of Management Reports and Statistical Analyses as required.
  • Advise and train other crew on maintenance helpdesk operation and use as required.
  • Administration of maintenance paperwork, External: (suppliers, service providers, customers)

  • Retail Operations Team and Store Managers
  • Fat Base Crew

    Confidence communicator with ability to build relationships.
  • Strong problem solver.
  • Effective at prioritising workload
  • Well-organised, with a logical approach to work., Experience in facilities management is desirable but not essential.
  • Competent in the use of Microsoft Office.
  • Experience of working with computer-based operating systems, prior knowledge Access Maintain / Pronett maintenance system would be an advantage.
