The Gastroenterology team at MWL are looking to recruit an experienced co-ordinator to manage the medical rota, ensuring clinics and endoscopy rooms are fully utilised and prevent the loss of clinics/lists by ensuring appropriate back-fill and cover is in place.
Liaising with the Gastroenterology medical team, the Nurse Endoscopy team and the Management team, you will ensure seamless and accurate provision of care for our patients, including cancer target patients, ensuring any issues are escalated promptly and efficiently. In addition, you will track short notice cancellations to prevent under booked clinics to mitigate any increases to the waiting list.
You will be responsible for linking in with various departments throughout the Trust either face to face, via phone or email for a variety of reasons such as; booking rooms, list scheduling, roster management, outpatient staffing / capacity and endoscopy scheduling.
Providing administrative support to the Gastro team such as diary management, note taking, arranging meetings and liaising with various departments such as procurement, IT and Finance., The post holder will work with their specialty service line and Clinical Teams to ensure that all medical rosters within the CBU are EWTD and New Deal compliant and produced in a timely and efficient manner utilizing both existing and temporary staff in the most appropriate and cost effective manner.
Communication and relationships
· Work closely with operational management/clinical teams utilizing the trust designated clinical systems (TempRE, Healthmedics), to identify and book any temporary medical locum cover required once all alternative options have been exhausted.
· Responsible for collation of CV's of medical staff to send to clinical leads for timely approval., Be the main point of contact for all junior doctor rotating to trust including the co-ordination of the bleeps and to attend Grand Round and other relevant induction sessions lines.
Analysis and judgement
· Co-ordinate the provision of medical cover to provide short, medium and long-term solutions including medical cover out of hours across the designated specialties.
Planning and organisation
· Design, prepare and publish the medical on call rosters, inclusive of consultant rosters, for CBU/Specialty within agreed timescales.
· To support the design and maintenance of medical on call rosters, inclusive of consultant roster, in line with the relevant medical terms and conditions of employment and the needs of the service.
Policy & service development / implementation
· Adhere to all trust and nationally agreed rules/ terms and conditions around the use of bank and agency staff.
Finance
If doctor above capped rate - this should be escalated to CBU management in a timely manner to 409 - liaise with DOF for approval.
· Liaise with CBU management and finance to arrange payment for any additional sessions undertaken inclusive of all medical grades.
Staff / HR / Leadership / Training
· Responsible for the recording of medical staff sickness on trust system relating to the sickness of medical staff and chasing of return-to-work forms.
· Responsible for providing clinical management teams information on trust sickness policy triggers as and when these are triggered in accordance to trust policy.
· Administration and recording of all requested annual/study/special leave for all doctors, including swaps, ensuring that the correct level of cover is provided at all times. This would also include the arrangement of cover during study periods and junior doctor rotation.
· Booking and arrangement of onboarding requirements for all locum/agency clinical staff.
· Coordination of permanent recruitment of junior medical staff in accordance and wishes of specialty management, as and when required.
Use and development of information systems
· Responsible for the maintenance of an up-to-date list of all current doctor staff list on shared drive for their CBU.
Freedom to act
· Escalate complex queries to Operational Service Manager/ Directorate Manager/ADO
