Full Job Description

To provide high quality administrative support to the Moving and Handling team and external clients. This includes acting as first point of contact for all Moving and Handling queries and correspondence, collating and maintaining accurate and timely training records for analysis and general administrative support to the Moving and Handling Department., This role includes collating and inputting data and general administrative support to the Manual and Handling Department. The role will also include customer service support, appointment reminders and reception duties, managing training trainer diaries.
The post holder will support the Moving & Handling Senior Co-ordinator in meeting the objectives and service plans for the team.
The post holder will ensure compliance with the Trust's Risk Management Policies & Procedures. These describe the Trust's commitment to risk management, the recognition that our aim is to protect patients, staff & visitors from harm and stress that all staff have a responsibility to minimise risk., · Provide comprehensive administrative support to the Manual Handling Team, working independently and effectively managing own workload to ensure deadlines are met.
· Act as the first point of contact for managers, staff and external clients with regards to Manual Handling queries, supporting adherence to Manual Handling processes and procedures and escalating as appropriate within the team.
· Ensure there is adequate telephone cover for the Manual Handling Team at all times. Responding to telephone enquiries, taking messages accurately and where appropriate providing (non-medical) advice and information in accordance with Manual Handling policies and procedures.
· Support with the booking process for Manual Handling Training sessions, scheduling and booking training for new Trust employees within appropriate timescales.
· Lead upon the collation and input of manual handling course data, including course feedback, maintaining an accurate and timely record for analysis.
· Assist in collection, collation and presentation of data for research/production of statistics to support decision-making and allow for forward planning of future
services.
· Act as the first point of contact for all Manual Handling Team correspondence, responding in a timely manner and using standard response templates where appropriate.
· Ensure the accurate filing and retrieval of all information both papers based and electronic.
· Monitor and maintain office stationery supplies, using the procurement portal to place orders to replenish supplies as appropriate.
· Update and support the ongoing maintenance of the Manual Handling Equipment Log, ensuring the appropriate and cost-effective use of manual handling aids and equipment.
· Take formal minutes at relevant meetings, providing an accurate record of agreed outcomes for future reference.
· Liaise with external providers to schedule and arrange events on behalf of the Moving and Handling Team, i.e. external training sessions.
· Support the training of new staff by providing an overview of administrative duties and act as a role model and mentor for the Moving and Handling Administration Apprentice.
· Undertake surveys or audits, as necessary to own work such as the Staff Survey.
· Keep abreast of relevant information which may affect areas of responsibility.
· Contribute to changes in administrative processes and procedures to improve efficiency.
· Participate in the provision of a flexible and responsive manual handling service

The ability to converse easily and provide advice in accurate spoken English is essential for all customer facing roles.
Most positions require a Disclosure and Barring check and will be exempt from the Rehabilitation of Offenders Act 1974. Posts working regularly or unsupervised with children or vulnerable adults require an enhanced check.
