Full Job Description

The Radiology Administration team are looking for a candidate that is passionate about providing an exemplary service, to work as part of a dynamic team helping to a deliver a safe and effective Radiology service across East Kent. The Radiology Administrative Team leader role plays an integral part in the support of Radiology administrative pathways, processes and leadership of the team. The successful candidate will be able to work in a systemic and methodical way, using their own initiative, and have excellent interpersonal communication and leadership skills. Applicants will have a keen eye for detail, with the ability to remain calm under pressure and prioritise workload. ·Support in delivering the highest quality and standard of care. ·Supporting with staff training and development to establish highly motivated, well trained teams. ·To use all relevant Trust software packages to support patient pathways and compliance of National and Trust Radiology targets.

  • · To schedule patient appointments in turn and according to their clinical priority either by phone or by letter ensuring they are booked into the correct scheduling location and modality availability. To flag to an immediate manager when there is a capacity shortfall that would result in patients breaching targets.
  • Report, investigate and act upon complaints and adverse incidents in line with care group and Trust policies collating themes and learning points from department and division.

We're looking for compassionate people to be part of our improvement journey for the patients, families and carers we care for every day., The Radiology administration department is a fast-paced environment, and as such we require all our staff to be multi-skilled, proactive and enthusiastic. The role of a Radiology Administration Team Leader consists of the below key duties: · To liaise directly with the multidisciplinary Radiology team (clinical and non clinical), relaying information accurately and promptly. · To prioritise workload on a day to day basis. · To undertake training on Trust information systems (Radiology information system -Soliton, Sunrise and PAS) in order to become proficient in undertaking post holder duties accurately and efficiently. · To use electronic work lists to schedule patient appointments according to clinical priority, associated waiting times or future clinic dates ensuring all capacity is utilised. · To schedule patient appointments in turn and according to their clinical priority either by phone or by letter ensuring they are booked into the correct scheduling location and modality availability. To flag to an immediate manager when there is a capacity shortfall that would result in patients breaching targets. · To monitor waiting lists, waiting times and DNA's as per local Trust Policies. · To manage and action as appropriate, incoming mail (electronic and postal). · To manage queries and telephone enquiries from all levels of staff, patients, relatives and other professional bodies in a timely and courteous manner. To be able to cope with people in different emotional dispositions and diffuse situations, sometimes stressful, which could lead to complaints. · To Lead, facilitate and maintain training within the team and maintain a high level of quality and enhance productivity within the team. ·To keep up to date and maintain staff records including annual leave, sickness absence in the absence of the supervisor. ·Deputising for the Radiology Business Administration manager as and when required. ·Act as an expert and positive role model for all staff. ·Report, investigate and act upon complaints and adverse incidents in line with care group and Trust policies collating themes and learning points from department and division. ·Promote excellent Customer Care sharing knowledge/experiences with others and assist in training to promote a better-quality service. ·To manage the work on a daily basis, to ensure all patient referrals, telephone calls and appointments are dealt with in an appropriate and timely manner. ·Participate in the development and delivery of appropriate training materials for all staff to promote professional development. ·Answer the telephone in a courteous and timely manner ·Ensure accuracy in giving and receiving messages ·Ensure all staff complete assessments/competencies and mandatory training. ·Ensuring Clinical Governance standards are met by maintaining Datix, 4Risk, Departmental change register and health & safety in the department. ·Provide positive motivation, training and support to new and junior staff in accordance with Trust policies and procedures. ·Participate in department meetings when required and join the 'exchange of information' necessary to be involved in decision making processes at the relevant level.
  • Attend and participate in clerical and departmental meetings.
  • To be prepared to work flexible hours to cover departmental needs in order to meet the requirements of the operational service.
  • To be aware of the confidential nature of work and maintain strictest confidence when dealing with patients, staff and other health service business information in accordance with both Trust Policy and the Data Protection Act.
