Full Job Description

The Primary School is seeking to appoint a well-organised School Office Assistant to work as part of a team in the school office.,

  • Support the Office Manager by overseeing the reception desk during the school day; act as first point of contact for visitors and resolve general enquiries from staff, parents, students, and general public.
  • Assist with completing administrative prep for new school terms, such as organising registers, coordinating co-curricular clubs on Pupil Asset and WisePay as well as ordering resources.
  • Assist with all paperwork relating to pupil administration, including paperwork relating to new or leaving pupils, updating Pupil Asset, ensuring attendance registers are completed daily with accurate absence codes, completing the school census, ensuring pupil data is accurate and up to date,
  • Sort incoming mail and outgoing mail, receive parcels and packages, coordinate deliveries to the correct department.
  • Receive and distribute the messages left on the answer machine and email.
  • Ensure all visitors sign in and wear an ID badge.
  • Keep the reception area neat and tidy, ensure posters, brochures and magazines are up to date and stocked.
  • To undertake word processing duties.
  • Undertake any other ad hoc administration jobs as and when required.

  • The professional competencies expected of an Administration Assistant are:
  • Outstanding secretarial skills and faultless command of written English.
  • Good interpersonal skills: the ability to communicate effectively with a variety of people and to assess and diffuse confrontational situations where necessary.
  • Tact, discretion, and the ability to keep confidence.
  • The ability to work as a key member of a collaborative team.
  • The capacity to remain calm and to cope with the unexpected.
  • A commitment to high standards, including personal presentation and punctuality and a willingness to be flexible to meet the needs of the post.
  • The qualifications and previous experience required for an Administration Assistant are:
  • NVQ Level 2, equivalent qualification, or experience in relevant discipline (desirable).
  • Good numeracy and literacy skills
  • Experience in general or secretarial administrative work.
  • ICT literate with good keyboard skills.

    The primary school, established in September 2019, is situated on the new White House Farm Estate in Sprowston, Norwich. Their modern school building and exceptional grounds include two playgrounds, a vast games' field, and outdoor learning classroom creating an exciting and stimulating outdoor learning area for their youngest children. The school became part of the Education Trust in 2019, which was an exciting development for the school. The Trust is an expanding multi-academy trust with 11 primary and 9 secondary schools.
