Full Job Description
Colfe's School is looking for a motivated and enthusiastic Office Manager to lead the Senior School Office. The principal focus of this role is to provide first class administrative support to ensure the smooth running of the school and ensure that the Reception and General Office present a smart, friendly and efficient point of contact for all visitors, pupils and staff. The Office Manager, supported by the Deputy Office Manager, line-manages a team of receptionists and administrative assistants. The role is accountable to all members of SMT and the Database manager, and ultimately reports to the Bursar.

- Working Hours: Term time plus 6 weeks during school holidays. Office team members work a rotation of shifts ensuring the Office is staffed throughout the School day between 7.45am and 6.15pm.
- Annual Salary: £37,050 (£39,260 FTE) Office Manager Responsibilities: Leadership and Management:
- Lead and manage the Office team with warmth and diplomacy, fostering a productive and positive atmosphere.
- Plan and coordinate team activities, ensuring deadlines are met and maintaining high standards of quality and accuracy.
- Enhance the team members' capabilities and ensure consistent practices are followed across the team.
- Conduct annual reviews for each team member, providing performance management and arranging specific training as needed.
- Manage resourcing, including shift rotas, holiday time working, cover for absences and out-of-hours school events. Duty responsibilities:
- Participate in shared responsibilities within the wider Office team.
- Create and maintain a comprehensive School Office Handbook.
- Assist the Data Manager in managing key systems, including the pupil database SIMS.
- Oversight of the process for creating, maintaining and archiving pupil records, and responsibility for ensuring completeness and accuracy of records to be compliant with ISI standards for Admissions Register.
- Manage requests from Academic leaders and SMT to assist in communications and the administration of school trips and events. Strategic Improvement:
- Collaborate with senior leaders to develop and implement strategies for continuous improvement in administrative and communications procedures.
- Drive the adoption of technology solutions to improve service and efficiencies in school administration. Working with colleagues:
- The Office Manager works closely with the Data Manager, Admissions & Communications, and Bursary teams on school administration and communications.
- The Office supports SMT and Academic leaders with administration, communications and in the planning and running of school events.
- Responsible for coordination with the Junior School Office to implement common solutions and share workloads where appropriate. Personal Specification:

- Exhibits excellent organisational skills.
- Possesses a strong understanding of school life, staff roles, and the Office's position within the school.
- Displays excellent literacy and communication skills.
- Shows a desire to challenge orthodoxy and continuously improve service standards.
- Effectively uses ICT, MIS systems such as SIMS or Engage SMIS, and other specialist equipment/resources.
- Commits to the protection and safeguarding of children and young people.
- Demonstrates flexibility and a willingness to learn new skills. Special Conditions:
