Full Job Description

We are a very small team, based in different areas of the region. Despite this, we work very closely together, liaising via Microsoft Teams calls often a few times a day and meeting up in person regularly. When we meet up (which is approximately monthly to six weekly) this could be at our offices in Reigate (Surrey), Horsham (West Sussex) or Lewes (East Sussex) and there is an expectation that you would attend. We operate hybrid working so there is the option to work remotely from home for some of the time. However, you will be expected to work from the Woking office at least one day a week, but this could be more depending on the needs of the service. The role involves handling our new enquiries and the case management system which our Hub uses to record ongoing cases. This will necessitate strong, flexible organisational skills including being able to prioritise tasks. You will have primary responsibility for ordering and receiving adoption files, as well as scanning documents for their preparation. Additionally, you will be liaising with adopted adults and their first/birth family members so this is a trusted position which meaningfully impacts our service users. You may also be required to sort and manage any post that comes into the Woking office which relates to the business of Adoption South East and to follow the process for this post. A large part of your work will be attempting to locate adoption records nationally, involving liaising with local authorities, adoption agencies, Courts and the General Register Office. This will require you to be self-motivated and proactive, with good communication skills and high levels of curiosity and determination in seeking information. You will have oversight of the Hub's current caseload so as to ensure that ongoing tasks are followed up and completed. You will also minute the Adopted Adults Hub business meetings and be responsible for contributing a business support perspective to the running of the team and our development. Your role as team administrator will also occasionally require you to provide assistance to other Adoption Hubs, if cover is needed.

    Adoption South East (ASE) is a Regional Adoption Agency providing adoption services on behalf of four Local Authorities (Surrey, West Sussex, East Sussex and Brighton and Hove) under a partnership agreement. We have nearly 100 staff working in ASE, including social workers, managers, support workers and dedicated business support staff, and we are searching for a team administrator to join our friendly and supportive Woking-based team. This role specialises in providing support to the Adopted Adults Hub, which is part of the wider Adoption Support Service. We are proud to be developing our service and the input from our team administrator is an important and valued contribution to this.

    The starting salary for this role is £13,388.50 per annum (pro rata to £26,777 FTE), working 18 hours per week. We are recruiting a part-time a part-time Team Administrator to join our Adopted Adults Hub, based in Woking. Rewards and Benefits
