Full Job Description

The Offender Subject Access Request Team manage and process offender subject access requests (SARs) on behalf of the MoJ. We liaise with MoJ's internal departments to retrieve personal information held about data subjects vetting this in compliance with Part 3 of the Data Protection Act 2018 (DPA).

Excellent information and records management is knowing what information you have across an organisation and having the right information available at the right time by those who need it. Being good at this is vital for any organisation as information plays an integral role in delivering day to day business, underpins policy and operational delivery, ensures legal obligations are met and safeguards the corporate record for use by civil servants in the future and the need for transparency with the public.

Offender Information Access and Registry encompasses the offender subject access request (SAR) and records management teams that are part of the Information Services Division, within the Ministry of Justice' Security and Information Directorate, Service Transformation Group.

Our purpose is to disclose the right information, to the right people, at the right time, by responding to offender SARs and records retrieval.

The team is responsible for processing approximately 5,500 offender SARs a year, liaising with prisons and probation areas to retrieve personal information held on the requestor, and preparing it for release within the legislative deadline of one calendar month.

We aim to put users at the centre of what we do and strive to continually improve our service and processes in response to feedback. We are moving forward with a programme of transformation to ensure that we deliver a high-quality service, to the appropriate standard and to the appropriate timescales, whilst supporting staff wellbeing and development. This is an ambitious programme of change over the coming years and the role is critical in shaping its success.

The team works collaboratively with His Majesty's Prisons and Probation Service (HMPPS) and His Majesty's Courts and Tribunals Service (HMCTS) as our key partners in delivery and stakeholder engagement., This is an exciting opportunity to become an operations manager within an expanding team responsible for overseeing the MoJ's delivery of offender SARs made under Part 3 of the DPA. The successful candidate will provide effective leadership and management to teams dealing with Offender SARs, in addition to supporting additional activities ensuring the MoJ meets its obligations under Part 3 of the DPA., Lead, manage, motivate and develop team leaders and their teams to meet current and future business needs.
Develop an understanding of current performance challenges and barriers within Offender SAR team.
Create performance reports utilising MI data to identify emerging issues and corrective action, and effectively communicate this to the SMT and wider team.
Plan internal resources to ensure all business targets are met for quality, efficiency and productivity for team and individual.
Lead and support on continuous improvement across all business processes including digital solutions.
Work with colleagues to identify opportunities for service improvements and facilitate activities to implement solutions.
Build and maintain collaborative working relationships with a range of stakeholders across MoJ including senior leaders, strengthening trust with new and existing relationships.
Working with colleagues across two main sites.
Undertake occasional travel to other Government offices as and when required, this may involve overnight stays to attend face to face meetings and conferences.
Knowledge, Skills, Experience

Experience of leading and managing in an operational environment.
Ability to work collaboratively and effectively with stakeholders at all levels across
Ability to work effectively with remote colleagues.
Ability to analyse, effectively report on and communicate performance data.
Excellent communication (written and verbal), influencing, and people engagement skills.
Strong organisational skills with an ability to set own work priorities, whilst continuously looking to improve ways of working and key products.
Willingness to lead and support continuous improvement activities.
Willingness to travel to other Government offices on occasion.
Proficient in Microsoft Outlook, Teams, SharePoint, Word, Excel, and PowerPoint.
Desirable:

Experience of leading a team in a digital environment streamlining processes and delivering good quality services that provide value for money
Working knowledge of (or ability to develop this) Part 3 of the Data Protection Act 2018.
Experience of delivering a culture of continuous improvement
