Full Job Description

The post holder will be responsible for the day-to-day support, management of
issues, process and Team Lead/Supervision of apprentice administrators within
STW Talking Therapies Administration team. The post holder will ensure the team are providing a professional and courteous patient administrative service., The post-holder will support the Admin Team Lead to provide effective day-to-day Supervision/Team Lead of the Appointment/Administration Team ensuring that the administrative needs of the services are achieved to the required standards.
To ensure patients and all contacts to the service are dealt with in a friendly and professional manner and that the experience is positive.
To drive the delivery of efficient and accurate processing in the booking of patient appointments, ensuring all clinics are booked to full capacity. To support the team administrators with processes, issues and training needs, which includes training of new members of the team., To Support the Team Lead of the Administration team, including the undertaking of the planning and implementation of duty rosters as required. Responsibility for ensuring all duties are covered and all staff are fully utilised to ensure effective operation of services. To cover such duties of other staff in their absence as directed.
Provide induction and execute training of new staff, ensuring all necessary skills gaps are identified and met.
To be responsible and support the admin team lead for the day-to-day supervision of the administration team, including co-ordinating annual and study leave and to deputise for the Admin Team lead as required with any sickness, disciplinary, capability or grievance issues.
Good communication with the Admin Team Lead and Business Manager, patients, relatives, carers and colleagues within the service to ensure accuracy of information and ensuring appropriate communication either verbal or written as required. To maintain positive and effective communication and working relationships to enable the efficient, effective and smooth running of services in support of patient care.
1. Analysis and management of waiting list information to ensure clinics are fully booked and patients are seen in a timely manner. Highlight any risks of breaching national/local targets directly to the Manager.
