Full Job Description

An exciting opportunity has arisen for a Part Time Admin Hub Lead. The role will be based at Pride House in Laindon and you will be expected to travel to our site in Jasmine House in Rochford weekly with travel expenses able to be claimed.You will have the day to day responsibility for the management of the Administrators working at both sites. The successful applicant will be required to carry out regular supervision and appraisal as well as probation meetings as applicable and the day to day management and allocation of tasks within their area of responsibilities. Our administration team is responsible for the provision of an effective clinical and non-clinical administrative support within the service for the NHS Talking Therapies Team. You would be part of the team to help provide support primarily for the clinicians and general administrative duties and responsibilities. Some of the responsibilities and duties include; answering calls via phone and email and processing messages appropriately, taking meeting minutes, receiving referrals and following the processes to ensure they are screened effectively and efficiently, booking appointments, writing letters, general office duties, as well as managing Administration staff at both Pride House and Jasmine house, you will also be expected to provide cover on reception at Jasmine House in Rochford as and when needed.Main duties of the job Managing and empowering your team to be able to provide the best service possible to our patients and colleagues.Provide rota's of cover of tasks for you and your team on a daily basis, sometimes at short notice in the event of sickness and / or annual leave.Manage Sickness absence within your team, following Trust Policy and Procedure.Answering and dealing with client / patient telephone enquiries in a confidential and helpful manner, and channelling enquiries, as appropriate to staff members (clinical and non-clinical). Ensure the maintenance and operation of an appointment system for South Talking Therapies Services, and booking transport when necessary, using Trust and partnerships information systems. Preparation and processing of documents relating to Mental Health and Specialist Services including photocopying, and attending to postal collections / deliveries. As a member of the administrative team, to work in support of colleagues within the Community setting as well as the Administration Service, providing cover in their absence (across both sites) if required to do so. Ensure that electronic records and systems for patients and staff are accurately and appropriately maintained. You would provide support primarily for the clinicians as well as general administrative duties and responsibilities.
