Full Job Description

Meta is seeking a highly motivated, skilled manager to join the Global Admin team as an Administrative Specialist Manager. The core focus of this team, which consists of both full-time and contingent workers, is to provide high touch administrative support to executives across the Meta organization. The day-to-day responsibilities of the team will be focused on services like people management, managing scope, calendaring, travel and expenses. As the Manager for this group, you will be expected to perform similar duties while monitoring bandwidth of your reports and act as an expert and source of knowledge for the team.This role also involves interacting with executive client groups and requires an ability to advise and influence various internal teams across the business. This person will need to be comfortable executing in a fast-paced environment, be highly organized, have strong communication skills, and build and use data for reporting metrics. This person should also have the ability
to juggle multiple priorities and streamline processes.

Required Skills:

Admin Specialist Manager Responsibilities:
1. Manage team of administrative specialist leads, who manage teams of individual contributors
2. Maintain understanding of team workload and bandwidth, enforce the ratio guidance and/or manage exceptions if necessary
3. Serve as the backup for the team in the event of leaves, by supporting your direct reports and clients as needed
4. Provide regular and timely feedback and coaching to individual team members, peers and managers
5. Communicate frequently with supported leaders and cross functional partners to build relationships, and advocate for admins as needed
6. Manage all org escalations
7. Provide support in the headcount and capacity planning process and plan for scale
8. Monitor the pulse and morale of individual team members, drive personal experience initiatives to support team growth and development
9. Explore and drive opportunities to improve and streamline processes to reduce time spent on manual tasks and quality of services
10. Partner heavily with ERBPs, HRBPs, Lead Admins, supported clients, and the Admin Programs Team during performance cycle season
11. Serve as an expert on admin and company-related policies (travel, expenses) and enforce with the team as necessary
12. Serve as a power user of internal and external tools used by admins (Outlook, Concur, etc.), including feature enhancements, on internal tools that would better serve the admin community

13. Experience managing, scaling, and developing diverse teams of leaders and individual contributors, with the ability to inspire and motivate teams
14. Extensive experience managing workloads of multiple teams and individuals
15. Experience in overseeing a wide range of time-sensitive duties, influencing and operating comfortably within equal amounts of complexity and ambiguity
16. Excellent analytical, problem-solving, and decision-making abilities and a proven track record in creating and using metrics and data
17. Experience with change management
18. Demonstrated experience building relationships and influencing across functional boundaries
