Full Job Description

The role sits within the context of providing a high-quality Continuing Healthcare (CHC) and Funded Nursing Care (FNC) service as well as Joint Funding Complex Case Teams within Lancashire & South Cumbria ICB. The service has a strong population focused ethos and a culture of continuous improvement. The service delivers assessment, care planning, commissioning and placement, quality and performance monitoring of provision, market management and development.

The post holder will deliver a high quality, professional administrative support and secretarial service to the Operational teams within the directorate. The post holder will deliver a "client-focused" service which promotes good customer service and effective working relationships.

Key Working Relationships

The post holder will:

To deliver an effective and competent level of administrative and clerical support within the operational teams of CHC & IPA, consistently delivering a "client-focused" service which promotes good customer service and effective working relationships.

Support the clinical team with facilitating the end-to-end process for funding applications.

The post holder will have standard keyboard skills and be competent at using Microsoft Office programmes, including Outlook for both email and electronic calendars and Microsoft excel.

MAIN DUTIES:
Act as a point of contact for the CHC and IPA teams, dealing with routine and specialist enquiries in a pleasant and helpful manner, communicating relevant information to stakeholders both internal and external, and referring to others as appropriate.

Assist in the management of the ADAM Database, registering, updating and generating reports as required, including Benchmarking and some Financial reports. Ensure effective and timely collation and preparation of relevant documentation in support of service delivery

Deal with invoice queries in an efficient and timely manner.

Work within established policies, procedures, protocols and systems to ensure confidentiality of information, quality standards and performance as directed by the CHC Team

Support teams to ensure that the portfolio of task's/projects is planned, managed and delivered effectively and timely

Answer telephone calls, taking messages and passing on accurately to the relevant departments/person.

Assist and participate in the recruitment process of support staff, as required

Contribute to the promotion of the CHC & IPA teams, checking that information is up to date and well presented.

Ensure that all complaints, comments and suggestions are dealt with appropriately, resolving where possible and escalating to line manager when appropriate.

Able to work on own initiative and unsupervised, within defined policies and procedures to set timescales.

Have a flexible/adaptable approach to their work in order to meet various deadlines.

Responsible for organising meetings for the CHC & IPA teams and planning any administrative work as required.

Work as an effective member of the CHC & IPA Teama, supporting colleagues with work tasks as appropriate. This will include support and providing cover to other administrative staff during Annual Leave.

Demonstrate office systems and department requirements to new starters.

Undertake Research and Development as directed.

To carry out other appropriate delegated duties as required

Support training and induction of new staff

Complete data entry as required and ensure data is regularly monitored, up to date, and stored in a way that is easily accessible to all relevant team members.

Support clinical team in collating activity data for audits and activity reporting.

The CHC & IPA teams are fast paced, therefore the post holder will be adaptable and able to work to deadlines.
