Full Job Description

We are looking for an Admin Support Officer to provide administrative support to our new Gateshead office. Reporting to the Senior Project Manager, but supporting the whole office, you will perform various day-to-day tasks to support the smooth running of the office from filing, planning and coordinating activities, communicating and helping implement office policies, answering all day-to-day queries, greeting customers and guests and assisting with procurement activities in regard to office supplies. This role will support with the liaison between the Company and office cleaning companies, landlord and other external vendors. In addition, and as part of the Project Management team, this role may be required to support with arranging company events and other ad hoc project activities.,

  • Create and maintain supplier list for office services and supplies, ordering office supplies and manage deliveries through the SAP system
  • Carry out Due Diligence screenings on new and existing suppliers.
  • Save and file supplier documentation, leaving a clear audit trail
  • Setting up accounts for suppliers up in the SAP system
  • Managing inventory of office supplies, including stationery and multimedia equipment to
  • ensure smooth office operations
  • Coordinate repairs for office equipment and organise regular maintenance
  • Coordinate Fire Warden / First Aider training requirements
  • Welcoming customers and guests to the office
  • Supports in meeting room and refreshment readiness for customer/visitor meetings should the need arise
  • Assists in planning and arranging events, including organising catering
  • Capturing and communicating project meeting minutes where required
  • Carrying out specific project tasks as and when required including but not limited to: work using Excel, meeting set up, small workstream tasks and ensuring delivery of these, supporting procurement activity on projects, occasional PMO assurance work with any of the team

    Educated to A-level standard or equivalent experience
  • Previous office management experience desirable
  • Basic understanding of project management desirable
  • Ability to build strong working relationships
  • Strong organisational skills and ability to work methodically and autonomously
  • Good interpersonal and stakeholder management skills and the ability to communicate both verbally and in writing at all levels of the business and across different cultures; able to tailor communication appropriately
  • Proficient in MS Office tools e.g. Excel, Word etc.
  • A flexible and adaptable attitude, willing to accept and drive change, and able to work comfortably with ambiguity, frequent change and unpredictability
  • Demonstrates sound judgement knowing when to escalate and confirm issues
  • Hard-working, goal oriented and with a high level of energy and enthusiasm; able to operate efficiently, effectively and professionally within a fast paced, dynamic and results driven business environment
  • Strong task management skills, ability to prioritise one's own workload
