Are you an excellent Administrator looking to contribute towards an effective Wellbeing, Safety and Diversity Team. If so, you are exactly what we are looking for! About the role The British Heart Foundation (BHF) is fully committed to ensuring the safety and wellbeing of its staff, volunteers, contractors and customers. As an Administrative Assistant for our Health & Safety team, you'll play a pivotal role in dealing with the day-to-day administration of the BHF's online incident/accident reporting system (Alcumus) and ensure that all case workflows are escalated when necessary and followed through to completion. You'll be the team's first point of contact answering health and safety enquiries via the phone, email, Yammer and Teams, whilst also supporting the wider health and safety team on other administrative projects as and when required. You'll also be responsible for ensuring that the H&S Teams Safety Management System is maintained and updated where necessary. This role requires regular travel across the UK. A full driving licence would be highly advantageous. Working arrangements This is a 3-month fixed term contract starting in 06 Jan 2025. This is a blended role, where your work will be dually located between your home and our offices in Northampton (NN1 2BN), London (NW1 7AW) or Birmingham (B37 7YE). At BHF we believe in the power of working together. On a blended contract, you can expect to spend some time in the office, at least one day each week, on average. The use of office spaces is driven in part by your role and the work you will do with other teams. To excel in this role, you will:

  • Have strong administration experience and proficiency in MS Office.
  • Be skilled in using databases or case management systems to track work.
  • Demonstrate experience in gathering information, following up on actions, keeping documentation up-to-date, and using data for reporting.
  • Have experience in a fast-paced, dynamic team with changing priorities, working both independently and as part of a team, confidently escalating concerns when needed.
  • Become a process expert, ensuring best practices are adhered to.
  • Have excellent written and verbal communication skills to engage all stakeholders professionally and promptly.
  • Be highly organised with great time management.
  • Have experience supporting projects and initiatives, collaborating with your team and the wider organisation.
  • Knowledge of health and safety legislation and the retail sector is highly desirable.
