Full Job Description

An exciting opportunity has arisen for an Administrator / Receptionists to join the East Locality All Age Integrated Service, within the Doncaster Care Group. The role involves providing admin support to community services based at Heathfield Centre and includes being a telephone point of contact to patients. The successful applicant will work under the supervision of the Admin Lead providing administration support for services; receiving calls to the service and providing quality support with high level accuracy in the day to day administrative function within the teams. RDaSH are offering this post along side the opportunity for you to complete an apprenticeship qualification [relevant to your role]. As an apprentice within RDaSH you will be given the opportunity to gain experience, learn work-related skills and obtain all the tools needed to thrive. An apprenticeship includes regular training with a college or other training organisation. Around 20% of your working hours will be spent training or studying. This leads to a nationally recognised qualification.   • The post holder will be expected to work using their initiative whilst working in partnership with key agencies. Communication and team working are essential skills to succeed in this role.
  • Communicate effectively, accurately & professionally
  • Provide reception cover
  • Maintain high levels of customer service at all time
  • Provide a confidential, quality administrative service to identified teams within the Doncaster Care Group
  • Cover/support other teams as required
  • Deal with telephone enquiries in a courteous & efficient manner
  • Remain calm in difficult situations
  • Prioritise tasks/calls requiring immediate attention
  • Accept new referrals on to SystmOne, manage and end current referrals
  • Create and maintain up to date computerised patient records
  • Provide an efficient and timely scanning service to the team in line with records management principles.
  • Production of high-quality documentation
  • Liaise between clients, professional staff and other multi-agency partners
  • Record messages on SystmOne and escalate any concerns appropriately
  • Monitor service emails/text message inboxes and task lists
  • Maintain a waiting list process
  • Open and distribute post
  • Book appointments and maintain appointment ledgers
  • Ensure appointment letters, group/clinic invites and other relevant documentation are sent out in a timely manner
