An exciting opportunity has arisen within Southern Health NHS Foundation Trust to appoint an efficient and motivated Admin Supervisor within the South to be based in East (Adult) Community Mental Health Team at Bitterne Park Medical Centre. This post involves working in an office setting., You will be part of a well-established and dedicated team comprising a wide range of professionals and will be responsible for providing a fully comprehensive secretarial and administrative service to the Community Mental Health Team at which you are based. You will provide support and cover for the Administration Manager and lead a team of experienced administrators. The principle of high quality customer care is at the heart of this role., Timely and accurate collation of raw data from internal and external sources on a regular basis and production into appropriate formats, e.g. spreadsheet, report. Including NHSP Audits, un-validated RiO notes, Clinical Vacancies, Safer Staffing, Supervision Records, Sickness Level monitoring, Managing Performance.

To support the manager by producing regular activity reports for management audit and planning processes.

Provide and receive information electronically, verbally or in writing which may be of a confidential or sensitive nature and ensure this is communicated properly within and outside the organisation.

To provide day to day support to team/service/division managers.

To act as a Registration Authority Agent for the RiO IT system.

Provide supervision to allocated administrative staff.

To directly manage and supervise administration staff within the team as indicated, ensuring that all administration staff are appraised and receive regular supervision

To monitor and record administration staff absences, sickness, training and annual leave, to organise and take lead in Stage 1 meetings for administrative staff

To be responsible for monitoring and reporting any health and safety issues within the function

To ensure that all staff within the sphere of responsibility adhere to local and Trust policies and procedures as well as the legislative and statutory policies

This is a fast-paced role, and we are seeking an experienced administrator preferably with previous supervisory experience., You will be required to work autonomously without direct supervision and also to manage your own workload. You will need to demonstrate effective interpersonal and communication skills, be extremely well organised and possess strong IT skills.
