Full Job Description
The Children, Young People and Family Health Services Directorate, has an exciting opportunity for a motivated and enthusiastic individual to join us as Care Group PA for the Early Intervention & Prevention Care Group. The successful applicant should have a proactive and friendly attitude, be able to demonstrate substantial administrative / secretarial experience and meet the main duties of the role. It's important that you are an excellent communicator with experience of working to tight and changing deadlines. You will be highly organised and efficient with excellent time and diary management skills, and have the ability to prioritise requests and to deal with conflicting demands. A high level of attention to detail supported by strong computer and typing skills is essential and proven skills and experience of providing secretarial support to the team. As a key leadership role within the team, you will have experience of supervising / line managing staff and be able to demonstrate
initiative in planning yours and others workloads to effectively support numerous services. This role will be an ideal opportunity to further develop those skills in a fast paced, multi-faceted environment. Main duties of the job
Confident at arranging and facilitating meetings both virtual and in person. Experience with setting agendas and writing minutes for meetings. Involved with rota management and updating where required. Management of multiple email inboxes. Understanding of GDPR/Confidentiality. . Dealing with and resolving informal concerns . You will be involved in the following tasks/projects: Diary management and booking meeting rooms. Shortlisting and interviewing Organising the monthly care group meetings, liaising with the Service Manager to set the agenda and review actions. Write minutes and distribute in timely manner. Managing the risk assessments and risk register for the care group, escalating to Quality, Safety & Patient Experience Meeting (QSPE) and Core Management Meeting (CMT) as appropriate. Logging and monitoring Consultant sickness on ESR and approving annual leave on Intrepid. Managing the safeguarding rota for Consultants, including finding emergency cover where required. Processing
of extra duty claims for Consultants via Patchwork system. Circulating communications to the relevant admin and clinical teams, as well as keeping distribution lists up to date. Digital literacy involving previous use of all Microsoft Packages and developing and maintaining the CYPFHS Directorate SharePoint site. Keeping the electronic staff files system up to date. correspondence and legal requests.
