Full Job Description

Establish and maintain effective working relationships with clients, carers, the general public and all other staff working internally and externally to the trust. Liaise with G.P.s and other professionals with regard to administrative duties relevant to client care, for example, processing new referrals, arranging clinic appointments, booking clinics etc. To contribute to the development of efficient administrative procedures within the department as required. To deal with routine enquiries and other routine matters from patients or carers. To undertake reception duties as appropriate ( via phone. Not patient facing). To support the Administration Team Lead and report episodes of sickness absence. To take team minutes and type up and distribute. Order stationary and supplies for both administration and clinical purposes. To process discharged files ensuring accurate inputting of information to the database to facilitate efficient retrieval of files following Trust policy. To amend and
distribute guidelines/local policies and procedures as requested by the Administration Team Lead. To assist bank or administration support staff in undertaking duties within the team as directed by Administration Team Lead. To provide administrative and clerical support to the MSK teams. Opening, sorting and distribution of post and any relevant email correspondence. Process new referrals and information, recording appropriate data electronically and onto spreadsheets, waiting lists and sending acknowledgement letters. Preparation of information for example, client files, letters, in line with local policies and procedures. To produce clinic appointment letters, and book transport / interpreter services as required. To participate in the organisation and coordination of study days or training. To gather data as requested, for example, activity data and statistics, providing punctual and accurate information following departmental and local trust guidelines as required on a weekly, monthly
