Full Job Description

The role of the Administrator will be to provide a friendly welcome to families and colleagues coming

into the centre in person and on the phone. You would use local knowledge of the community and

early help provision to signpost families to relevant support. As a member of a wider admin team

across the district you would work together with the team to share ideas and solutions and offer a

consistent approach. You would offer this support through a variety of means including: virtual

platforms, by phone, and in person. All of our work is all about making the biggest impact during the

best window of opportunity in a child's life.

  • Confident to open and close the premises, this includes as a lone worker

  • There are some physical aspects to the role, for example unpacking and storing items delivered, transportation of items across centres


  • Objectives of Service:

    To support the admin team across the Rugby District Group of Children and Family Centres in an

    efficient and effective manner. We are looking to appoint an experienced administrator who will be

    able to hit the ground running.

    Job specific requirements:

    It is especially important that the successful candidate is able to demonstrate experience of and/or

    an understanding of the following:

  • Highly proficient in all Microsoft packages

  • Being able to confidently input information on a database - training will be provided

  • Use of Outlook to diary meetings, room bookings with various partner agencies and schedule tasks, accuracy is essential

  • Dealing with information which is highly confidential, knowledge of GDPR

  • Helping to maintain mailing lists and databases

  • Meeting deadlines

  • Confidence in communicating effectively with both internal and external audiences and our local community


  • The administrator is the touchstone of the service and the first point of contact in the Children and

    Family Centre. You need to be confident with good communication skills. You will be exceptionally

    organised, ensuring that reporting systems are in place, data is collection and inputting.

    The Children and Family Centre staff team includes our Administrators, Early Years' Practitioners,

    Volunteer Co-ordinator and our team of volunteers. We also work in partnership with a range of

    other services to support families including but not exclusive to Family Support Workers, Health

    Visitors, Midwives, Family Information Service, Parenting Project and Speech and Language

    Rugby District Children & Family Centre's are a friendly welcoming service who work together with

    our partner agencies to support families and young people to achieve the best possible outcomes

    and improve their life chances. The service is tailored to local need with specific provision based on

    in-depth understanding of the local communities it serves. The Children and Family Centre service

    includes the following core elements: Coordination and administration of the designated Children &

    Family Centres, associated outreach provision and volunteer co-ordination; Provision of a range of

    stay, play and learn opportunities Service, locality and community development.

    We are seeking to recruit an enthusiastic Administrators who will support our team of Children and

    Family Centres which are based in Rugby District across our three Children and Family Centres:

    Claremont, Boughton Leigh and Long Lawford. You will be required to work across all three centres.

    This role requires flexibility. Our Centres opening times are between Monday - Friday between 8.30-

    4.30pm.

    The post we are seeking to fill is for 12 hours per week: Tuesdays 8.30am-4.30pm and Thursdays 12.00noon-4.30pm. Additional hours may be available when cover is needed for annual leave or sickness., Workplace Offer: What it means for you
