Full Job Description

We are recruiting for a motivated and efficient Administrator to work at our Head Office in the heart of Weston-super-Mare. As a family run business, we are proud to have grown our care home group across three counties and are searching for an Office Administrator who will help ensure the smooth running of our central office and provide support to our care home locations as needed. You will be the first point of contact for telephone, email and in person enquiries, therefore a warm and professional disposition is required as well as proficient computer skills. Due to the nature of the business, you will be speaking with a variety of people from residents family members, to local councils; therefore you will be adaptable, will have excellent customer service skills and will have a sound understanding of GDPR. You will also be carrying out administrative tasks, including providing support to the Directors and Senior Management. Day to day tasks include:

  • Answering telephone calls and greeting visitors to the office, providing excellent customer service
  • Undertaking general PA administrative tasks for the Directors, and any other duties as required, keeping the office running smoothly
  • Assisting in maintaining Head Office employee records
  • Processing DBS payments and recording information in line with data protection
  • Making staff ID badges
  • Overseeing the company staff visa file, ensuring documentation is current and relevant
  • Scheduling meeting room bookings and preparing the meeting room ahead of meetings
  • Assisting in taking meeting minutes
  • Weekly collection of files from our Weston Homes
  • Distributing adequate booklets for the care homes e.g. induction booklets, Fridge, booklets, where needed.
  • Assisting the Directors, Operations Manager and Quality and Compliance Manager with administrative support where applicable
  • Assisting the Recruitment Team with administrative duties from time to time
  • Working from our care home locations, supporting with administrative duties and answering calls when administrators are off sick or on holiday - therefore a driving licence is required
  • Other duties include; Filing and archiving, franking, collecting and organising post

    Must hold a drivers licence and be willing to travel to our care home locations.
  • Must have good knowledge of Microsoft applications e.g. Excel/Word and have good levels of numeracy and literacy and at least have qualifications in English and Maths.
  • Must have demonstrated the ability to work both as a team member and on own initiative.
  • Must be able to keep evidence based and effective records and have legible handwriting.
  • Must demonstrate a loyalty, flexibility and commitment to the Company.
  • You will understand the importance of maintaining confidentiality at all times, working in line with company policies and procedures.
  • You will be aware of steps to take in line with safeguarding vulnerable adults and have an understanding of whistleblowing.
