Full Job Description

The Tollgate Practice has an exciting opportunity for an administrator to join our busy practice support team, to assist with the smooth delivery of excellent patient care. This role is offered on a part time basis for approximately 25-30 hours per week over 4 / 5 days. Main duties of the job

  • Undertaking a variety of administrative duties including the provision of secretarial and clerical support to clinical staff and other members of the practice team.
  • Data entry and read coding of relevant patient information including medical data into the clinical system.
  • Scanning patient information into computerised records, including medical documents, hospital records and letters, as necessary.
  • Allocating workflow for review by doctors or other healthcare professionals.
  • Dealing with referrals to primary care.
  • Processing practice post and emails.
  • Registering new patients.
  • Covering reception, as and when required.
  • Handling enquiries efficiently., Our clinicians & staff work hard to ensure all patients receive good care & a professional service.
  • Efficient, high quality and safe : Our policies / procedures are regularly reviewed to ensure our service is as efficient as possible, while also maintaining a high level of safety & quality.
  • Working together : We work alongside other health organisations, public services, charities, & other external service providers to ensure our patients have the choice & support that they require.
  • Our entire team works toward a common goal of maintaining care of the highest possible standard to our patients. Continually improving : We review our processes & services on a regular basis and meet frequently as a team to discuss ways to improve. Staff development & training is an essential part of what we do, while we also take heed to patient feedback & adapt to an ever-changing healthcare environment.

  • An experienced coder / summariser with excellent IT, time management and organisational skills.
  • The ability to communicate effectively with a friendly approach and the ability to work in a confidential and discreet manner.
  • The confidence to work efficiently and maintain a high level of attention to detail, when under pressure.
  • The skills to work effectively as part of a multi-disciplinary team, as well as independently.
  • Some flexibility is required as you will sometimes need to work additional or alternative hours to cover for colleagues.
  • Desirable
  • Primary care experience is desirable but not essential.

    The Tollgate Practice is a 2-partner practice, operating from modern purpose-built premises in Stanway. Our diverse, friendly team provides general medical services to a patient list of approximately 10,000 patients.
  • The practice was inspected by the Care Quality Commission (CQC) in September 2023 and was assessed as "Good".
