Full Job Description

The role is 14.5 hours per week, we are happy to consider a job share with another admin post should you wish to expand your working portfolio. We are flexible with the days and hours worked for this service. The two practitioners working for this service are 27.75 hours per week. Considering this, we would like to suggest the candidate spread their hours over 3 days, but discussions on this are welcome at interview. This service is in collaboration with NAS and Eikon, team meetings will vary between Barnardo's only colleagues and on occasions an extended team meeting with the practitioners and managers from NAS and Eikon will take place. The office is based in Surrey, Leatherhead and there will be opportunities for the colleague to be at face to face meetings either based at our Barnardo's office or an agreed location when meeting in partnership with NAS and Eikon. Home to office mileage would not be part of a mileage claim for this post. Miles in excess of home to office can be claimed for. Predominantly this is a work from home post with team meetings happening on average once a month either online or in person. Enough notice is given to colleagues when a meeting in person is to be organised. We would like the admin colleague to be actively involved with the onboarding of new colleagues to this service and hope to appoint the admin colleague before the practitioners. Key areas of responsibility:

  • To actively monitor the services inbox, which will recieve requests for training by professionals, requests for consultations by the cluster teams, requests from schools for the pilot training offered.
  • To be proactive in terms of supporting the practitioners with their consultation meetings, running a team calendar and supportive tasks within team meetings.
  • To be able to manage own diary and ensure effective use of time across the variety of tasks within the role.
  • To be support the Barnardo's team by contacting and arranging all consultations and training sessions, carrying out corresponding administrative tasks with all stakeholders.
  • To work collaboratively with the team manager, CSM and practitioners keeping communication strong each week.
  • Attend all team meetings to support with minute taking and actions for the team.
  • To support with all Health and Safety reports required.
  • Hold a RBS Card and take care of ordering any items needed for the service.
  • Manage the content server and file room for the service supporting the team manager, CSM and practitioners when needed.
  • Being actively involved with the payroll reports and identifying any issues and actioning them in a timely manor.
  • Working with care and sensitivity as you are privy to sensitive information about CYPF and colleagues.
  • Running P&L reports
  • Supporting practitioners, TM and CSM when reporting to commissioners is happening and BI reports are needed.
  • Supporting TM and CSM with policy writing, Admin Guides, SURPS as needed.

  • Do you have experience being in an admin position for Children's Services?, We are looking for an administrator who is confident in Barnardo's internal processes and is able to join a new service. We are looking for someone who can take leadership of the admin tasks required and support the CSM and TM whilst they onboard new colleagues for the new service.

    A new and exciting service has been co created between Barnardo's, Eikon and NAS. Funded by Surrey and Borders NHS Trust and sitting under Surrey Wellbeing Partnership, the support provided by this new service lies under the Mindworks Alliance.
  • The service is appointing two practitioners (PW2s) and one admin with team manager, and CSM oversight. The service is based in Mole Valley, Reigate and Banstead, Tandridge and Epsom and Ewell. The practitioners will be sitting in the school based needs cluster meetings providing neurodevelopmental support to professionals, school and children and young people. The practitioners will be running a pilot 5 week programme for parents and carers within the schools in the named boroughs and also some training days offered to professionals., We know that our colleagues go above and beyond in delivering our vital work, driven by their passion and commitment to Barnardo's values.
