Full Job Description

The Health Visiting Service are looking for an administrator to provide support to the team. This is a permanent part time role (21 hours) based at Leigh Town Hall across Monday to Friday.
The successful applicant will provide administrative support to the Health Visiting Team to facilitate the effective operational delivery of the Health Visiting Office by undertaking routine office duties and dealing with routine enquiries. This will include providing comprehensive secretarial and administrative support to the health visiting team and will actively participate and contribute to the development of the service.
We are currently working in Health Visiting and School Nursing services integrated teams delivering services across a 0-19 Universal agenda., The role involves the set up and maintenance of an efficient office, ensuring that Health Visiting materials and resources are reproduced in a timely manner and efficiently organised to enable maximum clinical contact time for clinical staff., To provide administrative and secretarial support which enables the team to operate efficiently and effectively in the delivery of the Health Visiting offer.

+ To ensure all standard duties and requirements are met.
+ To prioritise requests for urgent pieces of work under the direction of the Team leader
+ To take responsibility for managing and maintaining child health records according to trust policy and local standard operating procedure. (Paper based or electronic)
+ Maintain record keeping skills and knowledge by undertaking regular training.
+ To utilise exemplary IT skills.
+ To input information using Systm1 appropriately and within policy and guidelines.
+ To ensure that the database for appointments is being operated efficiently and
+ effectively and that all letters and appointments are produced on a regular basis.
+ To maintain competence around new IT developments/tools
+ To work as part of a skill mixed Health Visiting service following agreed protocols
+ To manage, maintain and adapt information databases
+ To monitor and record data as requested for service development and audit
+ purposes
+ To utilise computerised data entry programmes such as Excel, to enter, store and retrieve information as requested and summarise data in preparation of standardised reports.
+ To be responsible for transmitting messages and documents through the organisation systems safely and securely e.g.via Systm1 /fax/email/scanning and engaging in the development of the service.
+ To develop and maintain own skills and knowledge using a competency framework to ensure effective care delivery
+ Attends for 1:1 supervision with the Team Leader/line manager
+ Attends and partakes in group clinical supervision.
+ Participates and engages with Personal Development Reviews identifying any training needs and ensuring they are met.
+ Attends relevant in-service training and other courses, and study days.
+ Completes mandatory training requirements annually.
Planning and Organisational Duties
+ Organises own workload effectively, ensuring a good use of time to support an efficient and timely service is delivered to children young people and families by the wider team.
+ Submits accurate performance data on a monthly basis and in a timely manner.
Communications and Key Working Relationships
+ To ensure a friendly and welcoming point of contact to service users and other professionals, giving prompt attention to their requests, directing enquiries and signposting as appropriate.
+ To liaise with administrative staff within Bridgewater, the Local Authority and schools as required.
+ To develop and maintain excellent working relationships with colleagues
+ To contribute to effective communications with patients, relatives and members of the Team
+ Maintain strict confidentiality for all clients
Responsibility for Finance
+ To identify and maintain stock levels of stationary and other stock and non-stock consumables required within the service.
+ Ordering of equipment when requested by health Visiting team Leader
Responsibility for Health & Safety
Compliance with the Health & Safety at Work Act 1974 - the post holder is required to fulfil a proactive role towards the management of risk in all of their actions. This entails the risk assessment of all situations, the taking of appropriate actions and reporting of all incidents, near misses and hazards, and a statutory duty of care for their own personal safety and that of others who may be affected by their acts or omissions.
Responsibility for Teaching
To participate in the training of newly appointed Health Visiting administrators. Also opportunities for pre registration students and new members of staff to shadow role for clarification and understanding of the role within team.
Work Circumstances & on-call
Monday to Friday with no on call.
