Full Job Description

An opportunity has arisen for an administrator to join the new NELFT Dialectical Behavioural Therapy for Adolescents (DBT-A) service.The role is a 1-year fixed term opportunity (or possible secondment) with the aim of securing further extension into a permanent role with the successful implementation of the service.The post holder will work closely with the DBT Therapists and management.

The postholder will providea comprehensive and confidential secretarial, front of house service and administrative support to ensure the smooth running of the service. This will involve dealing with general queries from the public, either face to face and over the phone and will include booking appointments and working alongside children and families to continually work towards improving and maintaining high standards.The post holder will provide general administrative assistance to the staff teams within their clinic to ensure the smooth running of the clinic. This includes maintaining confidentiality, conducting basic stock checks and storing and maintaining medical/personal records.The post holder will consistently deliver a "client-focused" service which promotes good customer service and effective working relationships.

Starting with NELFT
NELFT place a great deal of importance on new starters being properly welcomed and inducted into the Trust. All new starters will join the Trust on the first Monday of each month and will undertake a comprehensive induction of up to two weeks which will include mandatory training, systems training and the allocation of equipment. As part of the process new starters will have the opportunity to also meet the executive team, senior managers and attend a number of drop in sessions focusing in engagement, health and wellbeing and key processes. The induction will be held at our head office in Rainham, Essex.

Probationary Period

This post will be subject to a probationary period. Internal applicants are exempt from the probationary period (unless you are an internal applicant currently part way through a probationary period or currently a bank member of staff).

High Cost Area Supplement - London

This post attracts payment for High Cost Area Supplement of 15% of the basic salary (minimum payment of £4,551 and a maximum payment of £5,735 per annum pro rata).

Responsibilities:
1. Communicate effectively with a range of people, either in person or on the telephone, promptly and in a professional and courteous manner whilst recognising barriers to communication.
2. Ensure that complex calls from anxious and distressed clients are passed to appropriate person to deal with (dealt with) effectively and appropriately, or escalated to senior staff member if appropriate
3. Respond to enquiries, and take appropriate action on behalf of the service, either by telephone, personal contact or correspondence, within agreed time limits.
4. Maintaining efficient systems for client records by creating, maintaining, filing, archiving and when necessary, locating missing notes and arranging transfer of notes between Departments as requested by clinical staff.
5. Draft general correspondence on behalf of own service.
6. Accurately produce reports, correspondence and documents from a variety of sources including material from dictation, audio or manuscripts within agreed timescales (not including medical reports).
7. Work without supervision and ensure urgent situations are addressed swiftly.
8. Ensure workload is managed and prioritised appropriately.
9. Establish and maintain electronic and manual filing systems and updating as necessary, opening and sorting post, faxing and photocopying as required.
10. Arrange and take minutes or notes at meetings that are intended for internal review only.
11. Typing of letters, agendas, minutes, papers and reports as required by your manager. To encourage and develop teamwork within the team.
12. Input generic data into organisational systems or in-house records. Printing of simple reports - i.e. training records or basic clinical info
13. Cover other teams/services, where necessary, which may require working on other sites.
14. To highlight any operational concerns regarding administrative systems so that they can be reviewed.
15. To ensure a safe working environment as indicated by your manager.
16. Distribute patient satisfaction questionnaires and audits as instructed by your Manager.
