Full Job Description

As our Apprenticeship Admin Coordinator, you will be to support the smooth coordination and administration of processes related to apprenticeship provision. This includes booking and recording End Point Assessments (EPA), maintaining accurate apprenticeship records, tracking administrative milestones (e.g., breaks in learning), and general departmental administration such as minute-taking, data entry, and ensuring stakeholders have access to required systems and tools.

The post holder will work closely with the apprenticeships team and external stakeholders to ensure processes are efficient, compliant, and support the overall quality of the apprenticeship delivery.

Responsibilities of our Apprenticeship Admin Coordinator:

Coordinate the booking of End Point Assessments for apprentices.
Document and record EPA outcomes in relevant systems.
Liaise with awarding bodies and stakeholders to confirm apprentices' arrangement for EPA and ensure proper registration.
Communicate EPA schedules and outcomes to the apprenticeship team and employers.
Maintain accurate records of breaks in learning, withdrawals, and completions.
Administer learning platforms, ensuring all stakeholders have access to the systems they require.
Undertake scheduled data validation to ensure accuracy with apprenticeship rules and internal systems.
Take minutes at departmental and employer-facing meetings, distributing them promptly.
Prepare and maintain departmental reports and spreadsheets to support monitoring of key metrics such as progress and achievement rates.
Support administrative needs related to compliance and audit preparation for apprenticeship provision.
Act as a point of contact for queries from employers, apprentices, and awarding bodies.
Support Skills Coaches and management in coordinating schedules and resources to support the delivery of apprenticeships
Provide administrative support for e-portfolio systems
Work in collaboration with Data and IT to support the smooth running of apprenticeship systems.
Carry out additional duties as required to meet the needs of the apprenticeship provision.

GCSEs (Grade C/4 or above) including English and Maths, or equivalent English and maths qualification
Previous experience in administration, ideally in an educational setting.
Familiarity with data management and e-portfolio online systems, or apprenticeship tracking systems.
Proficiency in Microsoft Office applications (Excel, Word, Outlook).
Strong attention to detail and accuracy in record-keeping.
Effective time management and organizational skills.
