Full Job Description

The post holder will be responsible for managing the Division Admin Team across Barnet sites ensuring appropriate governance arrangements are in place. The post holder will take a lead role in the development and maintenance of administrative systems and processes within the team. The post holder will provide support to the Head of Division Admin (Business Support Lead and Admin Manager) and deputise as requested and when needed. The post holder will work very closely with the team admin managers and provide guidance to allow them to support the admin team effectively.
The post holder will have the skills to provide analysis on complex data in different formats as well as being able to manipulate and present data in an appropriate way for its audience. They will be able to lead on policy development for their own area as well as other areas across the division.
The post holder will demonstrate excellent organisational skills and the ability to use their own initiative to effectively prioritise own workload and that of the team to deliver to standards and within deadline. The post holder will have direct liaison with partnership organisations and key stakeholders which requires the post holder to hold the the highest standards of professionalism, confidentiality and discretion., Responsible for the management of effective administrative services within the Divisional Management Team ensuring the highest level of customer service is provided and relevant systems, processes and procedures are being undertaken efficiently and effectively, by auditing administrative services.
Oversee admin processes and activities to ensure the Division is supported to meet patient care / treatment and organisational and CQC standards.
Providing direct support to the Head of Admin in driving forward the strategic plans for the division.
Responsible for the day-to-day management of the division admin team as delegated.
Responsible for the on-going review and development of administrative systems and processes across the team.
Responsible for developing effective information management systems to include retrieval of information, filing, bring forward, message taking, meeting papers preparation and database management.
Be the central point of administrative contact and oversight within the divisional management administrative team, advising, referring, prioritising and dealing with requests and problem solve as appropriate. This requires dealing with the public and staff at all levels.
To be responsible for undertaking fact finds and/or route cause analysis as required., Develop and empower all members of your team to perform to high standards and innovate, building a culture of trust and respect.
Ensure supportive staff management arrangements are in place and carry out personal development reviews for direct reports. Ensure all staff in your line management have annual PDRs resulting in specific objectives and effective personal development plans
Develop staff knowledge and skills to promote equality and diversity and address inequalities both in employment and service delivery. Ensure specific equality objectives are included in PDRs.
Responsible for the recording on e-roster annual leave, study leave and sickness absence for staff within own line management and as delegated, including the handling of associated expense claims.
Lead on recruitment of admin staff under the DMT admin structure.
Support divisional recruitment activities and campaigns.
Line and operationally manage Band 5s and some Band 4s if required ensuring that minutes are taken in a timely manner, and appropriate support is provided to members of the SLT.
Provide an induction to all new permanent, bank and agency admin staff to their work area.
Co-ordinate admin workload and provide necessary support to admin managers, stepping in when necessary to ensure deadlines, SLAs, KPIs are met and patient / service users are not negatively impacted.
