Full Job Description

Applicants are invited to apply for the post of Administrative Assistant (Project Support), this is a full-time, fixed-term appointment for one year. The Faculty of Technology, Design and Environment is home to four Schools providing specialist and interdisciplinary teaching, research and knowledge transfer across a wide range of undergraduate and postgraduate programmes spanning a wide range of disciplines including but not limited to: architecture, arts, digital media, engineering, computing and mathematics. This is an exciting opportunity to be part of the team coordinating the Headington Hill New Buildings. The post holder will need to be able to build successful working relationships with staff within and outside of the Faculty., Overall purpose of post: To provide administrative support for the Faculty and New Headington Hill Building, supporting project meetings and following up actions. Coordinating Health and Safety documentation, facilities and event planning in preparation for the move. The post will involve:

  • Following-up project Actions and Minute taking
  • Updating project system/method grid
  • Faculty Project plan and Risk Register updates
  • Administration of H&S documentation in preparation of the move
  • Coordinate Faculty data requests for the School moves
  • New build event administration
  • Administration of new build communications

    Experience required for post: Previous administrative experience. Excellent customer service skills are required for this post and experience of working to deadlines in a busy and varied environment., A good standard of academic qualifications or relevant experience and excellent written English
  • Experience of working autonomously
  • Good communication and interpersonal skills
  • Excellent organisational, time management and prioritisation skills
  • Note-writing skills
  • The ability to use software packages appropriate to an office environment.

    The post holder will be required to work on campus 5 days a week.
