Assistant Directorate Manager Outpatients - Band 5 - Full time - Permanent
We are looking to recruit an enthusiastic Manager to join our busy administration team in providing a professional and effective Outpatient
Reception Service for the Trust. This post will currently require flexibility to cover shifts between 8am and 6pm Monday to Friday.
The post-holder will be responsible for the day-to-day operational management of assigned reception teams across the Integrated Care Organisation ensuring with the Supervisor that there appropriate levels of staffing are available across the rota. The post-holder will assist the Deputy Directorate Manager in the development and implementation of processes, policies and procedures to ensure adherence to the Trust Access Policy and the delivery of structured administration services.
The post holder will be responsible for the day-to-day line management of the staff and the service, for the delivery of training programmes for the reception staff, ensuring all staff are proficient in the application of booking processes and the use of IT systems which support the delivery of care,
Working with clinical and non-clinical colleagues to improve Data Quality and administration standards for outpatient activity.
Support the implementation of new processes and systems.
Monitor and manage KPI's.
Support the Deputy Directorate Manager to coordinate the investigation and response of complaints within appropriate timescales, · This role will be responsible for the day-to-day management of all assigned reception areas and administration staff supporting clinical staff in the delivery of services. The post holder will work with clinical teams to ensure services have the administrative workforce with the capacity and skills necessary to support and deliver high quality services. The post holder will be expected to work independently to manage these departments, in line with service requirements and local/national policies. The expectation of the successful post holder is that they will have experience and knowledge in managing large operational teams.

The successful candidate will be well organised and able to prioritise work. This role requires cover of shifts between 8am and 6pm Monday to Friday, therefore successful candidates must have a flexible approach in terms of their working hours across the working week. The post holder will be expected to manage and devise rotas or systems to ensure competing workload demands and short-notice periods of leave are adequately and equitably met.
Excellent written and communication skills together with the ability to prioritise work and meet deadlines are essential combined with line management responsibilities.
The post holder will need to be calm, patient and possess an excellent customer service manner. They must also be reliable and able to work as part of a team or independently.
