Our Estates Management team play an integral part of achieving these goals by being responsible for Shoosmiths' property strategy, space management and contract management. The role To focus on Client Services and provide an excellent service to internal and external clients. To assist the Regional Property and Workplace Manager in the organisation, management, and coordination of all Workplace Operations, building repairs and resources requirement for the office. Ensure services are maintained to the highest standards in all circumstances including but not limited to Front of House, Reprographics, security, cleaning, and external contractors while also managing the relationships with agents and neighbouring businesses. Main responsibilities

  • Ensure exceptional Front of House standard are consistently maintained
  • Oversee staff training and development to uphold professional standards
  • Ensure that the office is compliant in the scope of Health and Safety Management which covers all work-related activities and services concerning its employees, contractors, clients and visitors and members of the public
  • Cultivate strong relationships with partners and staff members
  • Facilitate knowledge sharing among team members to ensure continuous improvement
  • Recruit, interview and arrange training for new team members
  • Develop and maintain standard operating procedures
  • Act as keyholder and lead fire Officer/Co-ordinator
  • Support out of hours operations to minimise disruptions
  • Provide support to Team Leaders within the Region and Nationally as required
  • Scope, plan, and budget for small internal projects to completion
  • Assist with community investment and volunteering activities
  • Support the Firms' inclusion Networks and create connections within the community
  • Address daily queries with a solution-oriented mindset
  • Maintain regular communication with the Regional Property and Workplace Manager for seamless operations
  • Conduct regular team meetings and one to one session
  • Be prepared to support in a hands-on approach to cover busier periods, holidays, and sickness
  • Serve as the primary point of contact for contractors
  • Manage team schedules and ensure coverage for holidays
  • Budget control, managing invoicing, petty cash and Capital spends
  • Prepare for audits and serve as the onsite contact
  • Develop a comprehensive understanding of reprographics operations
  • Coordinate and oversee high volume reprographics requests efficiently
  • Ensure quality control of work produced by the team
  • Oversee archiving and deeds management
  • Support large scale reproduction projects for other offices as requested.

    Minimum 3 years' experience in a Team Leader role, ideally in a Legal or Financial environment with a large Client Suite.
  • IWFM and ISOH Qualification desirable or would be willing to work towards
  • Demonstrated ability to foster a positive and energetic work environment
  • Proactive and solution focused approach to workload management
  • Proficient in Microsoft Office applications and digital media management
  • Excellent communication skills with a professional demeanour
  • Strong time management skills with a balance of hands-on involvement and delegation
  • Commitment to delivering high quality service to internal and external stakeholders
  • Flexibility to provide occasional out of hours assistance
  • Confident and positive attitude with a focus on high standards
  • Ability to maintain composure in demanding environments
