Assistant Reception Manager - Gaia - Mayfair, London Reports To: Reception and Reservations Manager J O B P R O F I L E D E S C R I P T I O N : The Assistant Reception Manager oversees service efficiency and is serving as a communication hub for all departments. Assisting reception and reservations manager with the daily duties and maintain constant and consistent presence at the desk. Greet guests in polite and timely manner upon arrival, monitor coat check service. Have a full knowledge of all relevant information regarding the restaurant, service standards and menus. Ensure all special requests are handled efficiently and accurately. Compile daily, weekly, and monthly reports. Overlook and ensure the general day-to-day correspondence and internal administration runs smoothly. Responsible for the team's training, knowledge, and development. Be aware of VIP guests, Food critics, special needs guests, known allergies, etc… Carry out any other reasonable requests as directed by reception and reservation manager and General manager. DAILY R E S P O N S I B I L I T I E S :

  • Responsible for reception and reservations team in reception and reservations managers absence
  • Check the reports from the previous day
  • Check if the closing duties have been followed.
  • Check the day's book and act accordingly (open, close slots)
  • Allocate the tables
  • Update client's profiles after each service (anything out of the ordinary to be communicated to Management team and chef)
  • Write service reports
  • Weekly rota for the reception and reservations team
  • Ensure the reception team is ready for the service and aware of any special requests, allergies, etc…
  • Prepare the pre-service briefing
  • Distribute the service sheets and update the management team on any profiles, particular requests, allergies, birthdays, etc…
  • Monitor coat check service, assist the cloakroom attendant when necessary
  • Solicit guest feedback
  • Deal with all incoming enquiries by phone and email in a timely manner
  • Maintain an accurate and tidy work environment
  • Handle all guest details with care and protect all personal data
  • Assist to the Management meetings in reception and reservations managers absence
  • Make sure the staff is present on time both reception and reservation and report any lateness or absence etc.
  • WEEKLY R E S P O N S I B I L I T I E S :
  • Check the menu quality and levels
  • If required update and print the menus
  • Follow up on the personal development plan for the reception team
  • Send communication to Management for any upcoming events, special profiles, etc..
  • Send covers for the week ahead
  • Compile cover and average spend reports, review reports and send them to the Management team
  • MONTHLY R E S P O N S I B I L I T I E S :
  • Compile monthly reports
  • Attend reception and reservations meetings
