Full Job Description

We are looking to recruit two Associate Managing Editors to join our Uk Journals Editorial team in the Academic department. They will be responsible for maintaining an efficient and ethical peer review process for the high-impact, broad-scope open access journal PNAS Nexus. PNAS Nexus is the sibling journal to the Proceedings of the National Academy of Sciences (PNAS) and is published by OUP on behalf of the National Academy of Sciences (NAS). Under the supervision of the Managing Editor, the Associate Managing Editor(s) will uphold editorial office best practice and ensure that journal articles are published in a smooth and timely manner and to the highest standard. The Associate Managing Editor(s) will provide excellent operational support and customer service for the journal's editors and authors.,

  • Oversee the editorial process for manuscripts submitted to PNAS Nexus, from submission to transfer to production, liaising with authors, reviewers, editors, and OUP staff
  • Monitor journal inboxes and submission systems and ensure a timely and appropriate response to all email queries and accurate record keeping in the submission system
  • Work with the NAS Managing Editor and OUP staff where required to efficiently log and offer support during the investigation of ethical issues, following COPE guidelines until resolution
  • Provide support to editors by inviting referees, chasing late referees, and sending reminders to editors
  • Work with the NAS Managing Editor to ensure that relevant changes and developments are made to the journal submission system in a timely manner, and that all editors are trained to use the system effectively
  • Work with the NAS Managing Editor to proactively troubleshoot and improve processes, policies, and workflows to support better user experience
  • Ensure that the journal's Standard Operating Procedures, including staff and editorial board training materials, are followed and kept up-to-date
  • Liaise with OUP production staff and suppliers as necessary
  • Answer editors' questions about the submission system and lead trainings/onboarding sessions with new editors as necessary
  • Prepare data for journal editorial board meetings and additional meetings as required
  • Work with the NAS Managing Editor on special projects as requested
  • Stay up to date on industry best practices and guidelines, and use this knowledge to initiate and implement developments in policies, standards, and processes
  • Prepare regular status reports on submission volume, acceptance rate, turnaround times, and other KPIs as requested
  • Track and report on the performance of editors
  • Serve as a key point of contact for the NAS Managing Editor, OUP Publishers, editors, authors, and reviewers
  • Send external communications on behalf of the journal and its editors

    To be successful in this role, you will ideally have:
  • Keen eye for detail and ability to follow processes and workflows with a high degree of accuracy
  • Excellent organizational, time management, and prioritization skills
  • Ability to solve problems of variety and complexity using originality and ingenuity
  • Ability to serve as a resource to editors and authors in the resolution of complex problems and issues
  • Excellent interpersonal and communication skills, both written and verbal
  • Prior experience utilizing online submission systems, especially eJournalPress (EJP), preferred
  • Prior experience working in scientific publishing or in a related industry preferred
