Full Job Description

The purpose of this position is to work as part of the Operations Team providing a high level of professional customer service to our clients. Ensuring the efficient planning, coordination and administrative support for all Global Food Safety Initiative (GFSI) certification, 2nd Party Audits including LabTRUSTTM and Consumer Products Assurance (CPA) Social and Ethical Audits including SMETA. To be the main contact for UKAS and BRCGS, assisting with the arrangement of the Head Office Assessment and the Witness audits and compliance visits for all schemes

This is a full time homebased role working 37.5 hours per week - Monday to Friday 09:00 till 17:00.

  • Liaison with CPOs / UKAS.

  • Key account contact for all Large / Group audit partners.

  • Preparation and issue of Audit applications/agreements to new and existing clients.

  • Liaison with clients to arrange dates for audit visits to maintain Certification status in ADVANCE of their audit window and the subsequent communication with auditors.

  • Liaison with auditors regarding booked audits.

  • Maintaining and updating Audit scheduling systems.

  • Managing the audit diary effectively and efficiently to ensure optimum Auditor utilisation.

  • Liaison with BRCGS / UKAS to assist the planning of Compliance and witness audits.

  • To ensure assignment of audits to auditors with correct skill categories.

  • Maintain log of all lost and gained sites, including reasons for leaving (where applicable) and contact details - communicate all losses and gains to Sales Executive for follow up.

  • Ensure Sales Executive is advised of any potential new clients for follow up.

  • Ensure all new clients passed over from Sales Executive are followed up with within 1 business day.

  • Maintain an up to date list of all clients including address, contact details and Job Title of key personnel.

  • Ensure saving of all communication with sites is maintained on the shared drive.

  • Drive continuous improvement of systems and ways of working.

  • Full utilisation of Eurofins Assurance Online (EAOL) online audit system maintaining accurate data.

  • Participate in EAOL project meetings acting as key team member in the roll out.

  • Generate Standard operating procedures (SOPs) for EAOL and Eurofins Assurance systems.

  • Certification processes including uploading of reports, certification decision and certificate generation.

  • Booking of Certification training courses with sites and trainers / trainees when required.

  • Attend & participate in team meetings.

  • Deputy for Cvent training, Labelling and Valid IT in absence of Advisory Coordinator.

  • In addition, any other duties which may reasonably be expected to fall within the scope of this position from time to time.

    Technical understanding of BRCGS, GFSI schemes and Consumer Products Audits. Knowledge of Accreditation Requirements for ISO 17065.

  • BRCGS Understanding the requirements course exam pass.

  • Demonstrated competency with Microsoft Excel, Word, PPT and databases is essential.

  • Commitment to providing Excellent Customer Service is essential.

  • Ability to think on your feet, work well under pressure and a strong urge to get the job done are all essential for this role.

  • Strong interpersonal and communication skills are essential as is ability to have a flexible attitude to work and the constantly changing demands of the role and the industry.
