Full Job Description

To provide an efficient receptionist service to all visitors attending the Department and maintain a sensitive friendly approach. Working on the reception desk meeting and greeting staff and visitors; dealing with general enquiries, answering the telephone, and carrying out administrative duties.Main duties of the job

  • Use Trust systems to input electronic data; look up data on Trust IT systems in accordance with Trust policy
  • Ability to recognise situations that should be referred onto the Supervisor/Line Manager and take prompt and appropriate action
  • Identify long waiting list patients and any breaches in policy escalating as appropriate
  • When booking appointments ensure that patient accessibility needs are met including booking and provision of interpreters, i.e. ambulance transport requirements, appointment letters in bold print medication requirements. Ensure that patients' appointments meet the requirement of the NHS 18 week.
  • Advise patients of appointment times, these could be generated via GP Referral or internal request
  • Follow up any do not attend (DNAs)
  • Undertake work that has been prioritised by the Supervisor / Line Manager
  • Book and monitor room bookings
  • Identify shortfalls in staffing
  • Manage at short notice cancellations and re bookings of patients as necessary onto appropriate lists
  • Where required coordinate duties in clinics / departments / satellite areas and ensure staff rotas are appropriately covered
  • Be responsible for the quality of information Photocopy and distribute documents as required
  • Shred and destroy confidential documentation in line with Trust policy
  • Ensure appropriate care records and files are available to clinicians for inpatient and outpatient appointments
  • Ensure all letters and any information sent out are clear, accurate and informative
