Full Job Description

As part of our Admin & Clerical Bank, you will be assigned to various departments, providing critical support in tasks such as:
+ Reception duties
+ Data entry
+ Filing and document management
+ Ordering supplies
+ Answering phone calls
+ Photocopying and general office tasks, As part of our administrative team, you will play a vital role in supporting the smooth running of our healthcare services, ensuring patients and staff receive the highest level of support and care., + Receptionist: Welcoming patients, answering phones, and directing inquiries.
+ Ward Clerk: Providing essential clerical support to hospital wards, updating patient records, and coordinating with medical staff.
+ Administrator: Handling various administrative tasks, including data entry, filing, and supporting departmental operations., + Welcoming and greeting patients, visitors, and staff upon arrival.
+ Answering, screening, and directing phone calls in a polite and professional manner.
+ Managing the reception area, ensuring a clean and organised workspace.
+ Scheduling patient appointments and coordinating with medical staff.
+ Handling general inquiries and providing information to patients and visitors.
+ Logging and distributing incoming mail and messages.
+ Assisting with basic administrative tasks such as photocopying, filing, and data entry., + Supporting the day-to-day administrative operations of a hospital ward.
+ Maintaining and updating patient records and databases.
+ Liaising between medical staff, patients, and families to provide timely information.
+ Handling the filing and management of medical notes and confidential documents.
+ Ordering and maintaining ward supplies.
+ Answering telephone calls and managing enquiries.
+ Assisting with patient admissions, discharges, and transfers, ensuring the correct documentation is completed., + Providing administrative and secretarial support to healthcare professionals and management.
+ Managing correspondence, including drafting, typing, and sending letters and emails.
+ Organising and scheduling appointments, meetings, and events.
+ Maintaining diaries and arranging travel or accommodations where required.
+ Taking meeting minutes and following up on action points.
+ Preparing and managing documents, presentations, and reports.
+ Maintaining office supplies and managing records and filing systems., + Coordinating patient care pathways to ensure timely diagnosis, treatment, and follow-up.
+ Managing patient appointments and ensuring appropriate sequencing of consultations, tests, and procedures.
+ Liaising between clinical teams, patients, and external providers to manage referral processes.
+ Updating and maintaining patient records and databases, ensuring accurate documentation of each step in the pathway.
+ Ensuring patients and families are informed of their care plan, answering queries, and addressing concerns.
+ Monitoring and reporting on patient waiting times and addressing any delays.
+ Collaborating with various departments to ensure the smooth flow of patient care across services., + Providing administrative support to departments or teams, including general clerical duties.
+ Managing databases, inputting and maintaining accurate records, and ensuring data protection compliance.
+ Organising and coordinating meetings, appointments, and events.
+ Handling correspondence, emails, and phone calls, ensuring efficient communication within the team.
+ Preparing documents, reports, and presentations as required.
+ Processing orders, managing supplies, and handling invoices.
+ Assisting with staff timesheets, payroll, and personnel records where necessary.
+ Supporting management in project coordination and reporting., The Trust uses electronic new starter forms on Trac to collect personal details. Information collected is securely stored and used to set up the employee record on the ESR HR system.
