Full Job Description

Central London Community Healthcare NHS Trust (CLCH) provides community health services to more than two million people across eleven London boroughs and Hertfordshire. We take our Health and Safety responsibilities very seriously and recent transformation has seen the establishment of a new in-house Health and Safety team. With a forward workplan encompassing routine and regular activities and improvement projects such as mobilisation of an Evotix risk assessment system, the post holder will contribute to the safe and effective delivery of Health & Safety in the Trust.
The purpose of the role is to provide administrative and secretarial support to the Head of Fire, Health and Safety and the wider Health and Safety Team including project administration where needed.
The ability to travel between sites by public transport, active travel (cycle) or car will be necessary.
Mon-Fri, 9-5pm - Role to be 3 days a week on site and 2 days a week at home. Attendance at multiple sites may be needed but primary base will be Parsons Green, 1. Preparing agendas, taking minutes and distributing notes of meetings including typing of group discussions and interviews as necessary. This is for a range of meetings from more formal meetings including the bi-monthly Health and Safety Committee meetings and project groups, to less formal team meetings.
2. Requesting update reports from workstream/project leads ahead of meetings or to include in reports and other relevant documents.
3. Monitoring and updating the Datix risk register information system.
4. Carrying out surveys relating to the project.
5. Managing the team electronic diaries, including arranging, and changing appointments, prioritising these as appropriate, ensuring travel time is allocated, parking arrangements determined, maps provided, and travel arrangements agreed., 1. Planning and ensuring arrangements are made for meetings / away days / workshops of varying sizes and determine how these functions are to be organised. This includes booking appropriate venues, equipment, refreshments if required along with items specific for the requirements of that meeting.
2. Monitoring the Health and safety email inbox and processing queries using judgement as to the appropriate response; either forwarding to the appropriate person or preparing a full response to the query using knowledge of the Health & Safety team
3. Processing information relating to the Health and Safety team and communicating appropriately to different audiences.
