Full Job Description

To provide a point of contact for the staff and patients across the Trust requiring the support and services of the wider Facilities Directorate, and to assist members of the Facilities Directorate with a range of administrative and clerical support., To act as a point of contact for enquiries from patients, staff and visitors and deal sensitively with any matters that may arise and ensure that urgent matters are drawn to the attention of relevant staff quickly and accurately. To provide cover of both Receptions if and when required. The Post holder will be required to work across Trust sites to best provide support to the Facilities Directorate and the wider organization, but it is largely anticipated that the primary base will be at Sutton. Whilst workload will largely be determined by direct line management, the Receptionist will at times take instruction from members of the Facilities Directorate for tasks consummate with this job description
The Post Holder will be expected to take instruction on various tasks consummate with this role as directed by the management.
To carry out any other duties that may be required from time to time in accordance with the grade of the post or as directed by management., + Dealing with enquiries from patients, visitors, and staff in an efficient and polite manner.
+ Ordering taxis for Patients, Staff and Departments.
+ To ensure that the Main Reception and Public areas surrounding the department are kept clean and tidy at all times.
+ Check and Manage Approved Visitor/Carer lists following the current Trust procedure.
+ To take responsibility for all incoming general enquiries and tasks received into the Facilities Directorate and ensure those enquiries are dealt with in the most appropriate way.
+ To support the Facilities Directorate with ordering and invoicing via the Trust's procurement system (currently SBS).
+ Security / Incident / Fire - Respond to emergencies by following the appropriate Trust's procedures on activation of the relevant equipment to alert Emergency Teams on the
Sutton site.
+ To provide support with other Facilities systems and processes.
Message handling, ensuring that all information is noted and forwarded promptly to relevant Staff, Departments and Wards.
+ To assist and receive Visitors/Contractors and issue security passes. Updating documentation as required.
+ To assist in receiving and signing for specimens and samples from couriers and contact the relevant departments for collection.
+ To be responsible for organizing and validating bookings and couriers for urgent packages.
+ Provide exceptional cover at Main Reception or Wallace Wing Reception Chelsea as required in agreement with the Facilities Service Manager.
+ The post holder will be expected to develop an understanding of working priorities across the Facilities Directorate at all sites, particularly where this may involve actively covering Reception positions should the need arise due to long-term absence.
+ To be responsible for all recharging items as requested by management.
+ To support end of month reporting as required.
+ Ensuring the online Porter request System runs smoothly ensuring the Porters respond to all job requests in a timely manner, reporting any issues to Line manager.
