Full Job Description

The Bid Administrator is a pivotal role within Client Solutions, responsible for co-ordinating all procurement-related communications. You will oversee the central bid inbox and management of client portals, ensuring bid documents are accurately downloaded and efficiently distributed to relevant stakeholders across the business.,

  • Bid inbox management : Co-ordinate bid-related communications through the central bid inbox and client portals. Ensure bid documents are accurately downloaded and efficiently distributed to the relevant teams, maintaining seamless communication throughout the bid process.
  • Bid tracker management : Maintain the bid tracker database ensuring all bid stages, updates and changes are recorded promptly and accurately.
  • Reporting and analysis : Capture and analyse bid-related statistics, including win / loss rates, business group, service line and sector volumes, and values.
  • Opportunity tracking & tracing : Review alerts and notifications for relevant opportunities, and assist in identifying and tracking these opportunities, through pipeline notifications in collaboration with fee-earning teams, Client Development and Sales Enablement.
  • Procurement portal profile maintenance : Maintain accurate procurement portal profile information, ensuring key details including log in details, ISO certificates and insurance policies are up to date.
  • Bid inbox and portal expert : Be the central expert on bid inbox management, procurement processes, and navigation of public and private sector client portals.
  • Upskilling and portal guidance : Provide guidance and training to fee earning teams on the effective use of procurement portals.
  • Offer general administrative support, including guidance on uploading bid submissions, posting clarifications and communications to clients, and ensuring all portal-related activities are conducted smoothly and efficiently.
  • Governance and compliance : Ensure adherence to existing procedures, governance, and processes related to procurements.
  • External communication : Ensure timely and accurate responses to all external information requests.
  • Collaboration and continuous improvement : Work closely with Client Development and Sales Enablement teams to develop best practice, streamline existing processes where possible, implement positive change and foster a positive team environment.
  • Key internal contact management Maintain distribution lists of key Business Group and regional contacts to ensure accurate distribution of procurement information, through regular update of contact details and managing changes related to leavers and new joiners.
  • Additionally build a strong internal network and cultivate professional relationships with key stakeholders to facilitate effective communication and collaboration with the bid inbox function.

  • Ability to communicate effectively, both in writing and verbally, with a wide range of stakeholders.
  • Understanding of public sector procurement regulations is a bonus, with knowledge of procurement procedures being advantageous.
  • Excellent attention to detail, with the ability to manage a central bid inbox methodically while understanding the nuances of different service lines and stakeholder needs.
  • Ideally, some experience of bidding within property, construction, or professional services industries.
  • Skilled at multi-tasking and working under pressure to meet deadlines.
  • Strong organisational and planning skills, with the ability to work independently.
  • A proactive attitude, with a willingness to learn and take the initiative to improve existing processes., Minimum of 2-3 years of administration experience, or a graduate in an appropriate discipline.
  • Experience in a bid management environment is preferred but not essential.
  • Excellent English, both written and spoken.
  • Experience within property, construction, or professional services is preferable.
  • Knowledge and understanding of Public Sector bidding would be advantageous.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) is required.
  • Excellent written and numerical skills are essential.
