Full Job Description

To be the first point of contact for young people, families and professionals accessing Young Devon. As part of a team support with the day-to-day running of our Exeter YES Centre - building maintenance, health & safety and general administration, alongside creating a workable, pleasant environment for our users.

As a young people's charity, we are keen to assist young people with employment opportunities. Our business admin apprenticeship will be based in our Exeter building, and primarily be supporting with general administration around this.

However, with the many projects and services we offer, there is potential to become involve with administrative support for these.

This role would contribute to the quality of the day-to day service offered and taking a clear role in its development and vision. Assisting with reviewing procedures and systems in an accurate and effective way.

To create a friendly, welcoming, safe and structured environment suitable for young people and our staff.

List of dtuies:

· Ensuring we offer a welcoming and approachable front of house service and safe environment to all young people, families, and professionals using a person-centered trauma informed approach

· Assist with enquiries (phone, emails and in-person) and navigation to relevant services and signposting. Escalating complex situations as appropriate.

· Prepare the building for the day's activities and appointments, overseeing room bookings, monitoring and replenishing consumables

· Health & safety checks within the building, including fire alarm checks, maintaining first aid kits.

· Attend appropriate training courses, as requested e.g. first aid training, fire warden and participate in personal development training

· Supporting with planning and attendance on internal training courses

· Develop and maintain positive working relations with colleagues and stakeholders

· Contacting supplier and arranging quotes for maintenance work required/building checks required

· Liaise with service provider e.g. cleaners, waste collector to maintain service level agreements

· Data input onto Young Devon databases in a timely and accurate manner. Preparing reports and management information from data, with analysis as required

· Taking minutes for meetings as appropriate

· Collating weekly staff whereabouts, and maintaining staff annual leave calendar
