Full Job Description
We are looking for an experienced, motivated and dynamic Business Administration Co-ordinator to lead the administration teams of our Adult Urgent and Inpatient Care unit at Torbay Hospital. This will be a demanding but exciting role for the right person and enquiries before applying are welcome. This pivotal leadership role will manage the administrative teams and functions of our Urgent and Inpatient Care wards (Haytor and Salus), our Home Treatment teams and provide administration and business support to the senior leadership team. Leading by example and exemplifying the Trust's values, you will work closely with clinical, management and administrative colleagues from across the service and be responsible for the day-to-day administrative operation of our two wards and home treatment teams.,
- Be confident in leading a team of administration staff within a mental health inpatient setting;
- Support staff to deliver the highest levels of administration and customer service to our patients and colleagues;
- Ensuring the smooth operation of the administrative functions for our Adult Inpatient and Home Treatment teams;
- Providing high quality administrative and business support to senior management;
- Develop and implement administrative processes, procedures and policies and monitor compliance with same;
- Ensuring that administrative tasks are completed effectively and in a timely manner;
- Liaising with internal and external stakeholders, including patients, visitors and healthcare professionals;
- Ensuring the confidentiality and security of patient data at all times;
- Providing excellent customer service to all stakeholders;
- Managing and maintaining accurate records and data, providing a variety of reports KPI data to support the management team.
- Support health roster management and staffing administration;

With the ability to work flexibly and logically under pressure in a busy and fast changing working environment, you will use initiative and attention to detail to manage fast changing priorities, achieve deadlines and support delivery of an excellent service., Educated to degree level or equivalent; - Administration qualification to Level 3 or above or equivalent., Proven experience of staff management in a healthcare or equivalent setting;
- Significant experience in a ward administrative environment;
- Proven organisational and people management skills;
- Demonstrable ability to manage multiple priorities and deadlines;
- Excellent attention to detail and accuracy;
- Strong communication and interpersonal skills;
- Ability to work flexibly and adapt to changing circumstances;
- Proficiency in Microsoft Office and other relevant applications;
- Highly experienced formal minute taker;
- Ability to work independently and collaboratively as part of a team;
- A commitment to delivering high quality healthcare services, Experience of mental health terminology and processes;
- Business administration experience in health care;
- Safeguarding minute taking experience or qualification;
- Health Rostering experience or qualification;
- Awareness of policy structures and implementation.
